Our proprietary biologic drug platform technology, known as engineered toxin bodies, or ETBs, leverages the resident biology of a genetically engineered form of Shiga-like Toxin A subunit to create novel therapies with potent and differentiated mechanisms of action for cancer and other serious diseases. MTEM currently has multiple clinical-stage ETB candidates in development including MT-5111, TAK-169, and MT-6402. Additional preclinical compounds derived from our ETB platform technology are being advanced toward clinical development. Position Overview:

As a member of our Legal team, you will be responsible for managing the visa/immigration process for Molecular Templates. In collaboration with internal stakeholders, the responsibilities of this role include acting as the main point of contact for the immigration process and assisting foreign nationals with immigration procedures. This position will assist and coordinate with internal and external counsel on the review of applications, ensure timely filing of all required applications and provide all necessary communication to applicable parties on a timely basis. The Coordinator will process and respond to related immigration inquiries as well as monitor the status of cases. Additionally, the Coordinator will develop and maintain our internal policy database, working closely with other members of the Legal team as well as various internal stakeholders to update policies, track acknowledgements, among other responsibilities.

Job Responsibilities:
  • Perform a variety of duties centered on the visa/immigration process
  • Assist with reviewing applications and filings for accuracy (both immigrant and nonimmigrant). Verify data and prepare and/or coordinate the preparation of all other paperwork as necessary.
  • Responsible for following up on required paperwork with employees and outside counsel
  • Monitor status of filings, track expiration dates, and run reports
  • Maintain knowledge on federal and state employment laws
  • Educates HR team on immigration process, regulations, and timeline
  • Collaborate with our Legal and HR departments to resolve immigration issues
  • Communicate with employees or potential employees to intake all necessary information for file creation and documentation preparation
  • Field all employee concerns and refer employees to the correct resource or resources, when necessary
  • Process and respond to related immigration inquiries (for example, timeframe of filing, explanation about questionnaires, status updates and document verification)
  • Provide an interface for all immigration processes for the Legal and HR teams
  • Maintain relationships and coordinate with external law firms to design all processes, maintain track of all work visa status, and prepare reports for leadership
  • Create electronic files
  • Follow up promptly with employees for any documentation and/or questionnaires that have not been submitted
  • Maintain internal policy database including, but not limited to, scheduled policy reviews and updates, and coordinating and tracking employee acknowledgments
  • Responsible for training internal stakeholders on database changes or updates
  • Provides company-wide trainings on the proper use of the policy database
  • Serves as a resource for employees and answers any questions in connection with the policy database
  • Provide additional administrative support to the team as needed, including miscellaneous projects/tasks
  • Assist with e-Verify process for new-hires, as needed, in coordination with HR
  • Administer and audit I-9s to ensure all processes and documents are completed with adherence with company policies, procedures, and regulatory /compliance standards
  • Follow up with employees who may need to recertify their immigration documents and/or I-9 form and help them to remain compliant
  • Proactively notify HR and Managers of employees who may have expiring visas or other documents that allow them to work for MTEM

Qualifications:
  • Bachelor's degree from an accredited college/university or equivalent experience required
  • Minimum of two to three (2-3) years of experience in a similar role
  • Prior experience in immigration/visas highly preferred and desired
  • Prior experience with e-Verify and I-9 administration, preferred
  • Ability to work with confidential and sensitive information within the law and company standards
  • Meticulous attention to detail is required
  • Ability to communicate, oral and written, and work effectively with all levels of management
  • Demonstrated resourcefulness with the ability to anticipate needs, prioritize responsibilities, and take initiative
  • Highly motivated self-starter
  • Strong organizational and communication skills
  • Ability to meet deadlines, prioritize assignments, juggle multiple tasks simultaneously, and deal with highly confidential information is required
  • Ability to work well under pressure, adapt to unexpected events, prioritize and multi-task in a deadline-driven environment
  • Strong written and verbal communication skills are required
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) is required. Experience with SharePoint is a plus

Reporting Structure:

This position currently has no supervisory responsibilities. This position reports to the Vice President, Legal.
