The Talent Acquisition aka Recruiting Coordinator contract position (starting out as a 3-6 month contract, but may go as long as 18) will be primarily responsible for ensuring our candidates have a great interviewing experience. In this role, you will provide strong administrative support in the scheduling, coordination, and communication of candidate interviews and pre-employment information.

We are looking for someone who is very responsive and comfortable working in a fluid, fast-paced environment. You will interact with executives, managers, employees, and candidates of all levels across our North American sites, so strong communication skills (written and spoken) are crucial. As part of our North America HR team of about 12 individuals (most of whom are in Emeryville), you will report into our Head of Talent Acquisition, and you will work closely with our 2 recruiters and HR Specialist. You will also become an expert at navigating our applicant tracking system (ATS), ADP. You will be involved in other HR, administrative and recruiting projects as needed.

  • Schedule and coordinate candidate interviews, including completion of all virtual interviews, and/or travel arrangements for out-of-town candidates.
  • Communicate candidate interview details with candidates, the interview team, and outside recruitment agencies (when applicable).
  • Follow HR Department standards for processing employment applications and applicant background checks.
  • Perform general administrative functions within the applicant tracking system (ADP).
  • Process candidate requests for expense reimbursement.
  • Partner with IT, Facilities and HR team members to ensure smooth on-boarding experiences for new hires and contractors.
  • Work closely with HR department admin and Head of Talent to manage administrative documents and processes for Santen’s contractor workforce.

  • BS/BA degree or equivalent experience in pharmaceutical industry preferred.
  • Minimum 2 years’ experience working as an Executive Assistant or Project Coordinator in a fast-paced corporate environment.
  • Previous HR experience a plus, ideally in recruiting/talent acquisition.
  • Must be able to work with minimal supervision.
  • Ability to work with employees, candidates, and visitors from diverse cultures, communicate effectively, and provide support as necessary.
  • Professional demeanor with demonstrated ability to communicate effectively verbally and in writing.
  • Demonstrated ability to work in a team environment.
  • Proven track record with handling sensitive and confidential information.
  • Demonstrates good judgment when called upon to problem-solve; independent problem-solver.
  • Strong computer, e-mail and software skills; familiarity with ADP and contracts management systems (particularly, Coupa) a plus.
