The Associate Director, R&D Project Management will drive cross-functional teams to bring innovative Aesthetic products to market. The Associate Director is responsible for the effective management (organization, planning, execution, control, and evaluation) of all aspects of the projects in R&D. These include development and launch of new products, achieving new clinical indications and global expansion of existing products.

Key Responsibilities

Lead high complexity product development projects:

    1. Timeline Management and Project Planning:
      1. In concert with the Asset Strategy Team/ Deliverables Team develop and maintain the project cross functional timeline (Gantt chart), milestones and overall Global Development Strategy. Lead the updating of the GDS on an annual basis, at stage gates and when significant deviations occur.
      2. Create and maintain up-to-date timelines in Planisware, ensuring alignment across sub-teams.
      3. Maintain project timing, cost, NPV and PTRS elements of GDS.
      4. Ensure consistency between the GDS and sub team plans (e.g.clinical development plan)
      5. At each stage gate, with the Team Leader, gain approval from the Governance Board of the Global Development Strategy and agreement to proceed to the next stage gate.
      6. Notify management of significant deviations from the GDS and develop alternative scenarios, with the project team, to address deviation and gain approval on path forward.
    2. Financial Management:
      1. While the Team Leader shares responsibilities for managing overall project financials, the Project Manager should partner with the Team Leader and take a leadership role as the Asset Strategy Team/ Deliverables Team member responsible for managing the process associated with project outside costs, including:
        1. Creating annual budgets and quarterly forecasts
        2. Tracking and monitoring actual spend versus budgets and forecasts.
        3. Reviewing status at each Asset Strategy Team/ Deliverables Team meeting, and other sub-team meetings, as appropriate
        4. Ensuring all team members submit expenses to be accrued by each quarter end.
        5. Assist ‘key spenders’ in inputting financials in Planisware, if required
        6. Working with ‘key spenders’ to understand and capture variances.
        7. Communicating anticipated variances with R&D Finance and the Governance Board R&D Co-Chair and Governance Board Meeting Manager, as appropriate
        8. Be prepared to lead explanations during quarterly finance reviews.
      2. Expectations include for the Project Manager to hold financially related with Asset Strategy Team/ Deliverables Team members, ‘key spenders,’ and a representative from R&D Finance 
        1. The meeting in the beginning of the quarter to focus on forecasting.
        2. The meeting in the end of the quarter to focus on actuals, accruals and variances.
    3. Meeting Facilitation:
      1. Manage the Asset Strategy Team/ Deliverables Team operational activities to ensure milestones and goals are met.
      2. Schedule Asset Strategy Team/ Deliverables Team meetings.
      3. Develop team meeting agendas in alignment with Core and Sub-team Leaders and issue timely.
      4. Develop and issue timely, clear, concise, and objective minutes outlining Decisions and Action Items.
      5. Proactively follow-up to ensure Action Items are being addressed by relevant parties.
    4. Project Execution
      1. Execute the project on time per agreed to milestones/timelines and within the quarterly approved outside cost forecast.
      2. Act proactively and assertively to ensure those responsible for work activities of the project meet their commitments by agreed to dates and within the approved financial.
      3. Ensure the project governance documents are followed by the Asset Strategy Team/ Deliverables Team.
      4. Provide feedback on Asset Strategy Team/ Deliverables Team member performance to the Team Leader.
    5. Communication:
      1. Ensure management decisions are provided to Asset Strategy Team/ Deliverables Team (and sub teams) in a timely manner.
      2. Monitor and record progress of project activities, milestones and forecasts and periodically report status to management.
  1. Ensure and maintain open communication with and between Asset Strategy Team/ Deliverables Team and sub-team members.
  • Issue resolution:
    1. Anticipate and prevent and/or resolve potential operational risks or issues. Identify important issues, problems, and constraints and seek support/approval for team recommendations.
    2. Identify issues with Asset Strategy Team/ Deliverables Team needing resolution with management or Governance Board. Work with Governance Board Meeting Manager to schedule time at Governance Board meetings. Work with Team Leader and Asset Strategy Team/ Deliverables Team members to develop presentation materials.
    3. Ensure significant sub team issues are elevated to the Asset Strategy Team/ Deliverables Team in a timely manner for awareness and, if needed, resolution
  • Decision Analysis:
    1. Define with the Asset Strategy Team/ Deliverables Team and sub teams the appropriate key decision points and go/no go criteria.
    2. Provide decision analysis expertise and tools to the Core and Sub Teams in strategic planning and operational execution.
    3. With the Asset Strategy Team/ Deliverables Team ensure timely and well-informed decision making. Provide analyses to expedite go/no go decisions.
    4. Prepare the Asset Strategy Team/ Deliverables Team for management meetings to ratify decisions.
  • Training
    1. Train and coach team members on project team processes including project governance, roles /responsibilities of Asset Strategy Team/ Deliverables Team members, planning processes, project goals and milestones, use and application of project management tools including Global Development Strategy, Gantt charts, decision trees, project costing, and forecasting.
  •                   i. Other:

      1. Maintain project-related content on SharePoint, and manage team lists.
      2. Timely and accurate updates of project status, issues and risks in standard reports and ad hoc reports.
      3. Respond (or draft responses) for miscellaneous information queries, including manage all WBS#-related requests.

    Qualifications

    Required:

    • Bachelor of Science or Master of Science in Life Sciences or Engineering discipline.
    • PMP certification is helpful but not required.
    • A passionate project manager with good experience of the medical device product development pathway.
    • 8+ years’ experience in medical device R&D environment, including 5+ years as Project Manager or equivalent. 

    Preferred:

    • Expert in medical device product development and the interdependencies of individual development activities. Working knowledge of regulatory requirements for product registration on global basis.
    • Expert in the application of project management software and ability to utilize AbbVie R&D project and portfolio management systems.
    • Proven negotiation, issue resolution and team building skills.
    • Ability to identify and resolve project issues, including those related to timing, resources, and funding, to prevent delays in project milestones.
    • Excellence in communication, stakeholder management, facilitating and managing meetings.
    • Expert in facilitating team decision making.
    • Ability to encourage intelligent risk taking and a bold culture.
