Who You Are:

The Junior Executive Assistant will support the VP of Corporate Development, VP of Program Management, VP of Quality and Compliance, VP of CMC, VP of CMC Commercial, and VP of DMPK. You will have extreme attention to detail as well as the ability to multi-task and juggle priorities. The role requires articulate and professional and who understands the ins and outs of organizing a rapidly growing company. A positive attitude and excellent communication skills are a must. We have a "work hard, play hard" culture and look for someone that can help us scale our company.

Responsibilities:

  • Executives

  • Act as the point of contact among executives, employees, clients, and other external partners
  • Manage information flow in a timely and accurate manner
  • Manage multiple executives’ calendars quickly, and set up or reschedule complex meetings
  • Make occasional travel and accommodation arrangements
  • Help executives track their expenses and approve their direct reports’ expenses as needed
  • Create POs for new contracts and route them appropriately for approval
  • Oversee interview process on behalf of the executives
  • Help set up candidate interviews, presentations, and debriefs that involve the executives
  • Format information for internal and external communication – agendas, emails, presentations, etc.
  • Help prepare for meetings or presentations, and documents as needed
  • Screen and direct phone calls and distribute correspondence
  • Route documents appropriately for signatures and notary services
  • Support executives with ad hoc project requests
  • Office-wide

  • Organize fun events (ex. Yoga, cooking lessons, wine tastings) to augment company culture
  • Coordinate both virtual and in-person, company-wide info panels
  • Work with other departments to create training sessions including lunch & learns
  • Find and liaison with new vendors that will support the office environment
  • Organize and maintain the office filing system
  • Create new procedures for the office or specific teams to maintain organization
  • Help formalize Standard Operating Procedures
  • Order supplies both for individuals and the office at large
  • Support office operations and ensure that the office runs smoothly
  • Provide general administrative support and work with other admins on a variety of projects
  • Spearhead company culture, ensuring the office is fun, welcoming, inclusive, and puts patients first


Education, Experience & Skills Requirements:
  • Ability to handle a fast-paced environment with limited direction
  • Poised, professional, articulate, proactive
  • Ability to prioritize tasks each day effectively
  • Proven experience as an office assistant, administrative assistant, executive assistant, or relevant role
  • Outstanding communication and interpersonal abilities
  • Excellent organizational and leadership skills
  • Familiarity with office management procedures and basic accounting principles
  • Excellent knowledge of MS Office Suite, Outlook, SharePoint, Teams
  • Previous experience managing calendars, booking travel and accommodations, and scheduling meetings are preferred
  • BS/BA in office administration or relevant field is preferred
