PURPOSE OF JOB: The Audits Coordinator works closely with Lead Auditors, internal Quality support team and audit Clients to drive and facilitate timely performance of all audits. This support role will use independent judgment and initiative to assure processes and procedures are in place and closely followed to enable necessary compliance on behalf of Clients. The Audits Coordinator performs a variety of tasks without involving the Quality System Service Team Hub whenever possible, by thoroughly understanding business and work cycles in order to best prioritize work.

MAJOR DUTIES AND RESPONSIBILITIES:
  • Oversee all Audit requests by monitoring incoming emails (Audits@ and Suppliers@)
    • Audits include Maintenance Internal/Supplier Audits; Contract Internal/Supplier Audits, and Shared Supplier Audit Program
    • Coordinates travel needs for out of area CQG Auditor travel (air/hotel/car)
  • Work with Auditor and Client contacts to efficiently plan audits
  • Oversee and manage Maintenance Client internal/supplier audits as needed -scheduling dates and communicating between Auditors and Client contacts
    • Interfaces with QS Team to assure audit timelines are on track
  • Oversee and manage Shared Supplier Audit Program
    • Manages contract process, and keep finance team aware of invoicing dates
    • Manages ongoing communication between Supplier, customer, and Auditor
    • Confirms Supplier location address/contact info
    • Facilitates reporting process, through sending final signed report to customer
  • Facilitate Teamwork task lists and SOPs for all audits
    • Create tasks from incoming email requests/client needs
    • Assign to appropriate Team member
    • Monitor to be sure task is completed in a timely manner
    • Maintain Teamwork task management program; clean up and organize as needed
  • Support company goals and objectives, policies and procedures, Good Manufacturing Practices, ISO Standards, and FDA regulations
  • Audit Team administrative support and filing
  • Obtain signatures from relevant CQG Audit Team members to keep client docs moving through the process within strict timelines
  • Respond to questions by identifying and implementing workable solutions to problems with minimal guidance
  • Perform support duties keeping business and scheduled commitments timely
  • Produce information as needed by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics
  • Communicate with Team members as needed to obtain pertinent information per project and to help facilitate the movement of client projects
  • Maintain a safe and secure working environment


EDUCATION/EXPERIENCE REQUIREMENTS:
  • High School diploma, with some college or equivalent appropriate experience
  • Requires a high level of integrity and ability to maintain confidentiality
  • Must maintain a close attention to detail
  • The ability to take initiative and work under minimal supervision
  • Ability to work well under pressure and prioritize multiple assignments and activities; excellent organizational skills and accuracy
  • Ability to deal professionally and diplomatically with individuals at all levels both internally and externally including members of senior management
  • Preferred prior experience within general industry auditing
