Pacific Biosciences (PacBio) is looking for a Talent Acquisition Coordinator (TAC) to join our lean but talented HR team.

What you get to do daily
The TAC assists in logistics and administrative support, scheduling, coordinating, and document preparation/filing. In this role, you will interact directly with executive management, hiring managers, candidates, and outside vendors. The TAC will collaborate cross-functionally with various departments across the entire PacBio global organization. You will contribute to the overall success of PacBio by aggressively driving the recruiting process, producing quality output, with a high level of professionalism.

Tasks and Responsibilities
  • Scheduling: High-volume scheduling of phone, video, and onsite (post return-to-office) interviews. Reserving conference rooms, coordinating meetings and conference calls. Scheduling reference calls.
  • Travel: Organizing travel arrangements for candidates, booking flights, car rental, hotel accommodations, process candidate travel expense reimbursements. (post return-to-office)
  • Relocation: Assist with relocation of pre-boarding new hires.
  • Greets and assists candidates to ensure a positive onsite interview experience. (post return-to-office)
  • Initiation and tracking of background checks, as needed.
  • Documentation of processes as needed. Identify opportunities for improving both hiring manager and candidate experiences and scheduling efficiency; make process recommendations to achieve operational excellence.
  • Maintains all applicant information, ensuring that all information has been gathered within the applicant tracking system and that all compliance issues are met with regards to the recruitment process.
  • Identify and troubleshoot issues and escalate as appropriate.
  • Be accessible during normal work hours. The nature of our business sometimes demands workday or workweek hours different from normal work hours.
  • Provide administrative support to other teams, as needed.


Preferred Qualifications
  • High School diploma or equivalent required. Associate's/Bachelor's degree a plus.
  • Proficient in MS Word, Excel, and Outlook.
  • Prior experience in talent acquisition coordination, or other related administrative function.
  • Knowledge of commonly-used concepts, practices, and procedures within the talent acquisition function is a plus.
  • Applicant Tracking System experience is preferred. Workday Recruiting, Payor Recruiting, or Newton Software experience is a plus.
  • Experience working in a fast-paced, high-volume scheduling environment is a plus.
  • Exceptionally strong interpersonal and written/verbal communication skills with an emphasis on tact and diplomacy.
  • Ability to effectively partner and collaborate with peers to deliver dynamic candidate and hiring manager experiences.
  • Strong organizational and prioritization skills, ability to balance several priorities from multiple sources, flexibility and adaptability in dealing with rapidly changing priorities and demands.
  • Must have strong initiative and the ability to work independently with minimal direction/supervision.
  • Exercise sound judgment with the ability to recognize and handle sensitive/confidential information.
  • Strong attention to detail and accuracy; excellent follow-through skills.
  • Outstanding customer service skills.
