We are currently looking to fill an Archivist I-III position. This position assists in processing incoming information; sorts, classifies, and codes material for integration into systems or into storage areas. Retrieves and references information for users providing excellent business support. Maintains logs and indexes to provide a status of information and accurate retrieval. Handles records and maintains archives while contributing to the performance monitoring of the associated systems and processes. Responsible for equipment operation and processing of information assets for the organization's film or electronic imaging operations including imaging and digitization of records.

In this role, a typical day might include the following:
• Being responsible for the day to day GMP and/or GLP Archives activities
• Archiving completed study raw data, protocol, reports, equipment logs and electronic data/records, OR protocols, reports, logbooks, notebooks, manufacturing records and any other relevant records following the appropriate cataloging system based on current SOPs
• Serving as the point of contact and lead for related projects
• Identifying areas for continuous improvement of the processes and room based on experience and customer feedback
• Writing and revising SOPs and Work Instructions for processes
• Developing training modules for job tasks for training and provides training
• Serving as an SME for the Archives and the point of contact for any audits or health authority inspections
• Coordinating, and being the point of contact for, the transfer of Toxicology Study Materials from Contracted Research Organizations to the Off-site Archives
• Tracking all records checked in/out of the IRM Archives and/or Document Repository
• Archival, indexing, tracking, security and integrity of archived paper and electronic records
• Handling records intake, including scanning and posting activities
• Maintaining an accurate and comprehensive catalog of records (paper and electronic), checks records in and out as needed and identifies documents ready for scanning and/or offsite transfer
• Leading the transfer of records to the off-site archives/repositories, to include the documentation, tracking and shipment of records
• Overseeing the issuance and tracking of Study Numbers and Research Numbers
• Monitoring environmental conditions of room and acts based upon pre-defined criteria
• Working closely with customers to ensure consistent compliance with the process requirements and notification of changes
• Maintaining departmental databases, preparing and analyzing metrics for trends and improvement opportunities

This role may be for you if you have:
• Knowledge in Federal laws and National Archives and Records Management (NARA) policies and procedures relating to records management
• Knowledge in GLP archival, records and information management, or library sciences
• Proven attention to detail and organizational skills
• Ability to work independently with moderate supervision
• Demonstrated ability to work in a team environment
• Ability to work well under time restraint

To be considered for this role it is required to have completed a Bachelor's degree and 0-2+ years of record management/archivist experience, preferably in the Biotech/Pharmaceutical industry, in records/information management and/or library sciences experience for Archivist I level, 2+ years for Archivist II level, 5+ years for Archivist III level. Certification in Records Management or Information Management (e.g. Certified Records Manager, NARA Records Certification, AIIM records related certification, Enterprise Content Management Specialists) preferred. May substitute proven experience for education requirement. Level is determined based on qualifications relevant to the role.
