Description:

We are currently recruiting for a Program Coordinator to support the Office of Postdoctoral and Graduate Affairs (OPGA) Director. This person will be the primary contact for program development, logistics, training and education in addition to all administrative support services. They will work closely with the 100+ postdoctoral fellows, 50 graduate students and outreach volunteers to provide assistance in their activities. The successful candidate will be a people centric person, organized, comfortable managing competing deadlines, and working with diverse constituents in a fast-paced research environment.

The Program Coordinator is an important participant in the holistic training and development of our postdoctoral fellows and graduate students.

Responsibilities include, but are not limited to:
  • Coordinates and organizes various career and professional development programs and events for postdoctoral scholars, and graduate students under the guidance of the Director of the Office of Postdoctoral and Graduate Student Affairs.
  • Lead for major events series including the Postdoc Appreciation week and Graduate Student Appreciation week events. Interface with student and postdoc community regarding event logistics, engagement and assessment metrics. Track and monitor attendance and feedback of training programs including the Responsible Conduct of Research. Works as a first point of contact for Gladstone Postdoctoral Advisory Committee's and Gladstone Graduate Organization's organizational activities.
  • Facilitate and organize various aspects of Student Outreach with the student community group in collaboration with the manager including quarterly meetings, classroom talks, public speaking and community partnership events.
  • In collaboration with the manager, recruit, market and organize all the professional development activities of the diversity internship program, Promoting Underrepresented Minorities Advancing in the Sciences (PUMAS). This will include managing the online application process, marketing, designing professional development activities and evaluation of the programs.
  • Organize and manage administrative activities of the unit include reimbursements', purchases, Postdoc lunches, Graduate student lunches, and Gladstone Postdoctoral Advisory committee and Graduate Organization. Schedule cross-department/institute meetings and event series, help with logistics, and catering for all activities. Process all re-payment of invoices, reimbursements and event and training expenses for OPGA.
  • Organize the overall onboarding of postdoctoral fellows, and graduate students; PUMAS interns, including organization of postdoc and graduate student orientations and logistics. Help with postdoctoral candidate interviews, and maintaining content on the online sources and social media relevant to trainees. Assist with the National Student leadership scholarship initiative including the onboarding and organization efforts.
  • Lead the unit's alumni relations' initiatives including tracking and monitoring alumni engagement of students, postdocs, PUMAS interns and liaison and organize alumni engagement efforts.
  • Maintain an updated roster of graduate student population. Coordinates UCSF graduate student fees, tuition, and stipends. Serves as a liaison with UCSF graduate program departments.
  • Curates and organizes various resources and job opportunities for the bi-weekly newsletters and manages the trainee newsletters, social media and other engagement resources.
  • Manages, collates and analyzes metrics on trainee engagement on programs, progress towards completion, career development and career outcomes
  • Other duties as assigned.

Requirements:
  • BA/BS preferred
  • 3+ years of administrative work experience.
  • Previous experience working with student population, inclusive learning, diverse individuals is a plus.
  • Good communication skills, people skills are required for a successful candidate.
