The Medical Affairs Operations Specialist will support the HCP/HCO Fee for Service (FFS) business process management, including documentation completeness, accuracy, and compliance with all established and required policies and guidelines. In addition, the Medical Affairs Operations Specialist will team with the Sr Operations Specialist to process and support the Medical Affairs teams' contracting/agreements with all third-party vendors and purchase order requests as well as review and verify aggregate spend for Sunshine Act reporting purposes. In addition, the Medical Affairs Operations Specialist will support the Funding & Support program by processing all funding proposals and working with the vendor to ensure system efficiency.

Essential Job Functions:
  • Responsible for the HCP/HCO contracting and engagement process and ensures adherence to policies and procedures related to the process of establishing HCP/HCO agreements
  • Manage purchase order process as it relates to Medical Affairs contracts by creating purchase order(s) based upon approved statement(s) of work; set up in the Avanir Contracting System and requested from the Purchase Requisition software.
  • Partner with service providers, HCP/HCOs and internal business/engagement owners to ensure deliverables and other applicable requirements are met as related to payment for service through proof of performance process.
  • Ensure Business Needs Assessments are completed timely, accurately and documented in alignment with established procedures.
  • Collaborate cross functionally to facilitate engagement process activities, ensure compliance and provide process improvement feedback.
  • Serve as subject matter expert relating to the HCP/HCO engagement and contracting process and provide payment support within the Medical Affairs department.
  • Responsible for the processing of and ensuring all funding & support requests meet legal, regulatory, compliance & industry standards including oversight of the process from receiving the submission, the review, the payment, the determination communication and post program reporting where applicable.
  • Manage multiple projects/initiatives simultaneously, and make sure all deliverables are done within agreed upon timeframes.
  • Perform reporting requirements including review and verification of medical aggregate spend data to ensure accuracy and completeness as required per Sunshine Act reporting process.

Education/ Qualifications:
  • Bachelor's Degree is required.
  • 4+ years' experience in analytical role.
  • Pharmaceutical experience preferred.
  • Experience working with Microsoft Office applications, Versaic and Sales Force Platforms

Physical Requirements:

This position primarily works in an office environment. It requires the ability to sit or stand for long periods of time and frequent walking. Daily use of a computer, phone, office equipment and other computing and digital devices is required. May be required to stand for extended periods when facilitating meetings or walking in the facilities. Some local travel may be necessary, so the ability to travel by plane, operate a motor vehicle and maintain a valid Driver's license and/or effectively navigate public transportation is required. While performing the responsibilities of the job, the employee must be able to read and respond to interoffice communications as well as effectively participate in meetings. The employee is often required to sit and use their hands and fingers, to lift up to 20 lbs., pull, push, carry, handle or feel.
