Position Summary:

As an analyst, marketing operations (events), you will play an important role in leading the development, planning and execution of speaker programs, conferences, ad boards and other HCP engagements for functions such as managed care, medical affairs, trade and others. It is a highly interactive and cross-functional role where you will develop an understanding of the brand team's business and focus on effectively managing relationships with key stakeholders.

  • Facilitate and manage promotional event programs including speaker programs, external conferences, and HCP contracting for teams such as managed care, trade, medical affairs and site of care. Promotional programs may be intended for audiences such as health care professionals, managed care plans and other payers, distributors, wholesalers and sites of care institutions. Additionally, this role leads non-promotional processes for ad boards.
  • Facilitate the planning, development and execution of event(s) including working with assigned teams and other cross-functional teams to develop objectives, content, format, budget and HCP contracting. Liaison with vendor partners to ensure timelines and expectations are met and drive to successful completion through project management.
  • Ensure appropriate contracts are in place for HCP engagement of speakers and as consultants including appropriate selection, contracting and training per compliant criteria and procedures.
  • Facilitate and manage conferences/conventions including national and regional in nature and support materials needed for local events. Facilitate the planning, development and execution of conferences including working directly with assigned teams to develop objectives, booths, materials, symposiums and other onsite conference venues and events. Liaison with vendor partners to ensure budget, timelines and expectations are met and drive project to successful completion through project management.
  • Manage all day-to-day activities for the planning and implementation of programs for assigned teams and HCP-contracting as needed.
  • Plan and lead planning and status meetings with cross-functional partners and assigned teams. Prepare and maintain documentation, action items and meeting outcomes. Escalate issues as appropriate.
  • Ensure adherence to compliance guidelines and guide stakeholders on appropriate processes.
  • Drive adherence to timelines and timely approval of promotional program and ad board content as required working with the PRC team.
  • Troubleshoot bottlenecks in workflow system.
  • Act as the point of contact and communicate project and process status adequately to all participants. Modify level of communication to meet audiences' level of need to know basis.
  • Effectively prioritize pieces during times of high volume - product launches, sales meetings, etc. - balancing competing objectives to ensure deliverables are on time and within budget.

Qualifications & Skills Required:
  • 4-year degree preferred and/or equivalent Pharmaceutical industry experience
  • 3 years of promotional program, event/meeting planning, Pharma marketing or similar process experience
  • Must possess strong attention to detail
  • Strong computer skills, proficiency in Microsoft Office Suite
  • Highly organized with the ability to multitask effectively, ability to reprioritize project workload quickly
  • Excels in a fast-paced, deadline driven environment and is able to focus and follow guidelines with minimal supervision
