In this newly built role, The Legal Billing Coordinator will support the entire Law Department in all phases of the billing and e-billing processes, including the administration of the e-billing database. This role will be able to build and maintain excellent working relationships with internal and external partners. We need someone who can work closely with attorneys, outside legal counsel, and vendors. We need someone who displays the highest legal and ethical standards and can collaborate optimally across the enterprise.

A typical day might include the following:
  • Take ownership of the Law Department's e-billing system, Serengeti (aka Legal Tracker).
  • Thoroughly understand the Serengeti database, its capabilities, settings, fields and reports.
  • Respond to requests from vendors, law firms, Accounts Payable, Accounting, Finance and Procurement. Develop relationships with vendors and individuals in these departments and be comfortable following up until completion.
  • Work with new law firms/vendors, Vendor Maintenance, ABAC personnel and InfoSec in order to onboard new vendors; learn internal databases and upload required forms.
  • Work with Procurement to create new purchase orders and PO requisitions; learn internal databases and upload required forms.
  • Track, monitor and renew certain Law Department subscriptions/licenses/contracts and understand the terms of each. Work with subscription vendors to acquire access for new employees.
  • Review and approve certain invoices in the MarkView invoice approval system.
  • Implement Law Department billing guidelines/standard methodologies and monitor same for compliance.
  • Frequent requests to law firms to submit timekeeper rate sheets for new timekeepers and new rates. Review uploaded timekeeper rate sheets for compliance. Acquire internal approval for new rates.
  • Work with Accounts Payable on new or existing projects. Correspond with Serengeti Support.
  • Create Serengeti matters; respond to requests for matter identification; respond to invoice inquiries.
  • Proactively solve issues to prevent reoccurrences.
  • Develop working knowledge of all types of accounting codes and know who to consult with questions.
This role might be for you if:
You excel at computer databases and web-based platforms.
Experience in Serengeti (Legal Tracker) e-billing system (or a similar e-billing system), the iPro procurement system and the Zycus vendor system is preferable.
The ideal candidates will have a thorough knowledge of legal billing and invoicing, including e-voicing. Excellent Microsoft Suite skills, especially in Excel.

To be considered for this role you have an Associate Degree (bachelor's degree highly Preferred) or relevant experience and 5+ years of e-billing experience in a corporate legal department. Law firm e-billing experience may also be considered. Patent, biotech or pharmaceutical experience a plus
