We are seeking an energetic and reliable Coordinator on a contract basis to perform and assist in day-to-day operations and administrative tasks for our two buildings. The successful candidate will be highly organized, dedicated, and able to handle a variety of duties simultaneously.

Job Responsibilities:

Operations Related
  • Maintains recordkeeping for Operations related equipment, systems in addition to health and safety compliance
  • Assists with drafting of standard operating procedures, guidelines and work instructions for Research and Quality Operations
  • Contributes in the development of worksheets, presentations and databases as required
  • Monitors and Assists with company Operations work order system
  • Assist with web-based equipment management system for calibrations, preventive maintenance and service contract vendors
  • Assist with the coordination of operations related service vendors
  • Takes on and manages projects as required that in-support of Operations
  • Assists with shipping\receiving on as needed basis

Administrative Related
  • Schedule is Monday thru Friday, 8 hours a day (8 a.m. - 4:30 p.m. (some flexibility available)
  • Greet all workers and visitors at the front desk
  • Ensure all visitors sign in/out of the visitor management system, wear a mask and are aware of our social distancing protocols
  • Ensure workers are wearing face masks as they enter the building
  • Maintain the visitor management system (iPad, labels, etc.)
  • Follow up if a host does not promptly meet their guest
  • Escorting candidates to the interview location, offering refreshments, referencing restrooms, hand sanitizer, etc.
  • Coordinate onsite lunches (escort delivery, track lunches, candidate ordering, special meeting ordering, etc.)
  • Keep all copy/printer areas and conference rooms organized and well stocked (supplies, drinks, tables clear of clutter, white boards clean and with proper supplies, etc.). Areas to be tidied and restocked at least 2 times daily.
  • Gather and distribute mail in a timely manner
  • Pick up voicemail messages and direct them to the appropriate party, keeping a log of all calls
  • Inventory, stock and ordering of all breakroom and office supplies
  • Other clerical administrative support as needed
  • Maintain cubicles during onboarding and offboarding activities


  • Previous experience in a demanding support role preferred
  • Proficient using Microsoft Office (Outlook, Word, etc.)
  • Must be able to lift and carry up to 25 lbs.
  • Must be able to walk between site locations, multiple times a day (approx. 100 yards)
  • Must be able to sit for extended periods of time

  • Strong verbal and written communication skills
  • Demonstrated ability to proficiently handle competing priorities
