We Are Genetic Navigators bringing together passionate, creative and dedicated professionals to join a rapidly-growing startup on our mission to translate novel genetic insights into lifesaving medicines. We are integrating human genetics and functional genomics to decode the mysteries of genetic modifiers, leading us to new medicines we'll develop for a range of severe diseases.

We are seeking an organized, highly efficient coordinator that will serve as the primary contact as it relates to scheduling candidate interviews. This successful candidate will orchestrate complex interviews logistically, communicate scheduling updates internally and externally, and ensure the candidate has a positive experience at all junctures of the scheduling lifecycle. With a high touch experience for candidates, you will be responsible for planning candidate interviews and providing detailed information to interviewers. In tandem with the recruiter, the coordinator will form uniform communication with candidates and assist in developing more efficient processes. As we move into more streamlined hiring, the recruiting coordinator will keep the applicant system up to date. This is a dynamic opportunity to be part of a dedicated team and strong recruiting machine, while helping Maze grow effectively. Other various tasks may occur such as executive calendaring and data entry.

Your Role in Navigating The Maze:
  • Efficiently and successfully manage requisition scheduling by seamlessly coordinating between candidate and interviewer calendars
  • Serve as the primary channel for scheduling and administrative matters for talent acquisition
  • Maintain up-to-date Greenhouse ATS and ensure proper tracking of candidates
  • Organize interview information in a simplified and thoughtful manner
  • Manage high-volume coordination of job interviews where scheduling can be complex, requiring a careful eye and solid judgement
  • Communicate changes, logistics and technical information internally and externally; keep talent acquisition partner updated on challenges and completions
  • Exhibit a white-glove approach to all candidates

Your Navigation Tools:
  • 1-2 years of recruiting coordination, administrative assistant, or executive assistant experience
  • Demonstrated experience managing complex calendars and problem solving to make tricky schedules work well for all parties
  • A strong attention to fine details, with the ability to organize and communicate in an efficient manner
  • Experience working in a startup is a plus; experience working in life sciences is a plus
  • Prior experience handling sensitive and confidential information is highly preferred
  • Strong time management skills with the ability to pivot when necessary during high volume recruiting trends
  • Ability to prioritize well and exercise good judgement around when to seek clarification as questions arise
  • A collaborative, communicative, and transparent disposition; a “can do” attitude at all times
  • Experience scheduling with Outlook is required; experience with Greenhouse ATS is a plus
  • Exceptional written and verbal communication skills and highly resourceful
