• Sample Allocations and Shipments: Create bi-monthly sample shipments for US hand sampling reps based upon orders placed. Create & process bi-monthly sample shipments to Puerto Rico hand sampling reps based on marketing allocation. Process Adhoc sample shipment requests, ensuring warehouse availability & budget compliance. Create Adhoc shipments for new hire reps & new product launches to ensure timely receipt of samples. Investigate and report, where applicable, any loss in transit shipments or returns.

• Logistics Vendor Management: Manage shipping vendor compliance to align with PDMA requirements. The primary responsibility is to process sample shipments to Field Sales Representatives, ensure shipments are made promptly, and research shipment discrepancies. Responsible for the development of business rules/requirements and ensuring vendor compliance. Utilize analytical and critical thinking to resolve issues efficiently and effectively.

• Training: Manage workflow for training: allocations, shipments & systems. Complete docs needed for the ALC team to upload FS activities in ALC. Register/Monitor completion of Sample Ops employees for required training. Register FS employees for sample certification curriculum as new hires/LOA returns/transfers. Manage annual certification program by registering all sampling FS employees. Provide quarterly updates of the training plan. Provide 1:1 training to FS employees, including policy violations/PDMA reportable events.

• Audits: Responsible for the maintenance of the Sample Operations Audit Playbook every quarter and testing equipment to support an audit. These activities contribute to audit readiness for any planned or unplanned, internal, or external audits of Sample Operations.

Qualifications

• BA, BS degree required, or equivalent experience. Minimum of 2 years' experience in highly regulated functions. Knowledge of pharmaceutical industry, compliance regulations and standards (PDMA)Experience and expertise with regulatory audits and practices

• Proficient in Microsoft Office suite (Word, Excel, PowerPoint, Access) Vendor management experience. Able to manage multiple tasks/priorities simultaneously with a sense of urgency. Strong project management, problem-solving and analytical skills. Ability to develop & execute innovative, creative solutions. Strong customer and operations focus. Confidence in providing subject matter expertise to cross-functional partners.

• Ability to clearly and confidently articulate complex and challenging concepts. Extensive understanding of pharmaceutical field sales activities, roles, and behaviors. Excellent written, verbal, and presentation skills. Ability to develop and deliver training and communication. Ability to thrive in a team environment
