Position Summary:

The Senior Administrative Assistant will provide high-level, confidential, administrative and project-based support. This position is often privy to confidential information and as such, requires diplomacy and discretion. The Senior Administrative Assistant is a seasoned professional who combines an overall understanding of day-to-day responsibilities while working with minimal supervision, exercising independent judgment, and maintaining confidentiality. This position understands the requirements for flexibility and accommodates shifting priorities.

Essential Functions:
  • Administrative support to members in Medical Affairs, including Patient Advocacy, in day to day business activities.
  • Calendar management for Senior Executives.
  • Responsible for working with Corporate travel partner, to coordinate travel arrangements including airline, hotel and rental car accommodations for domestic and international travel.
  • Create presentations, maintain spreadsheets and databases.
  • Prepare materials for meetings, appointments and events.
  • Manage multiple projects and tasks simultaneously.
  • Prepare and submit expense reports on behalf of the team.
  • Schedule and organize internal and external meetings.
  • Assist in the preparation and organization of purchase orders/contracts.
  • Ability to effectively and professionally communicate and collaborate with other Retrophin administrative support to coordinate and plan office events.
  • Perform related administrative tasks including filing, photocopying, scanning, faxing, mailing, etc.


Requirements:
  • Bachelor's degree in a business discipline is preferred. Equivalent combination of education and applicable job experience may be considered.
  • Minimum of three years of administrative and/or project support responsibilities or applicable job experience may be considered from which comparable knowledge, skills and abilities have been attained.
  • Attention to detail and strong digital/technical, organizational, problem-solving and follow-up skills required.
  • Strong interpersonal skills and excellent verbal and written communication skills are required.
  • Self-motivated with exceptional accountability and responsibility.
  • Ability to multi-task, project manage and prioritize work, while working with multiple internal and external stakeholders.
  • Experience in dealing with strict adherence to confidentiality requirements and appropriately handling potentially highly confidential information.
  • A "can-do" attitude, ability to interface with all levels of management and a willingness to go the extra mile to get the job done.
  • High level of proficiency with MS Office Suite, particularly Outlook Calendar, Excel and Word.
  • Capability to learn and effectively use Agiloft contract software.
  • Knowledge of office management systems, procedures and equipment.
  • Ability to work in a fast-paced environment while being a motivated team player.
  • Ability to work well under pressure, with potential time constraints, sudden shifts in tasks and to prioritize accordingly.
