This important position provides highly skilled, efficient, and effective executive level administrative and organizational support to the Chairman, President and Chief Executive Officer and acts as internal executive support to the Board of Directors.

The Sr Executive Assistant plans, prioritizes, communicates and organizes a high volume, diverse workload including complex projects that are frequently highly confidential and sensitive in nature.

Responsibilities:
  • Plans and manages the Chairman's schedule, ensuring the most effective use of time while coordinating a variety of complex meetings including, but not limited to, Board Meetings, internal staff meetings, conferences, special events, and meetings with external parties and business partners, etc.
  • Uses a high level of diplomacy, judgment and discretion in coordinating the Chairman's office responses to complex and conflicting requests.
  • Acts as executive support to the Board of Directors.
  • Anticipates, prepares and distributes, in advance, documents and set up for meetings, conferences, presentations and telephone calls in which the Board of Directors participate.
  • Answers and screens Chairman's telephone calls and directs them promptly and efficiently. Arranges conference calls and manages messages and correspondence.
  • Manages extensive and complex travel arrangements, both domestic and international, including airline reservations, ground transportation and lodging, meeting scheduling, etc. for the Chairman and Board of Directors, while managing frequent change requests.
  • Creates and proofreads highly complex presentations and reports as well as all Chairman's correspondence, including but not limited to, engagement letters, consulting agreements, memos, reports, etc.
  • Acts as liaison with the executive management team, Board members, employees and the companies and all external parties with which the Chairman is involved/communicates.
  • Interacts daily with a wide variety of individuals in a broad range of situations that require tact, discretion, diplomacy, sensitivity and personal creativity and accountability.
  • Effectively prioritizes balances and manages a variety of simultaneous projects to successful, timely completion.
  • Performs other duties/special projects as assigned by Chairman/Board.


Qualifications and Skills Required:
  • Minimum of 10 years corporate senior level Executive Assistant experience working in a "C" suite environment including 5+ years of experience supporting a Board of Directors.
  • Exceptional time management, project management and organizational skills.
  • High school diploma required, BA desirable.
  • Advanced computer skill proficiency in Microsoft Office suite.
  • Polished, professional demeanor and high level of personal integrity and accountability.
  • Proactive problem solving ability.
  • Excellent interpersonal as well as strong written and verbal communication skills.
