Project Manager

The Project Manager is primarily responsible for supporting projects (client-sponsored and/or internal) at Hitachi Chemical Advanced Therapeutic Solutions (HCATS). The Project Manager in this role must have a comprehensive understanding of project requirements and objectives, develop relationships with project stakeholders and provide strategic oversight as well as day-to-day management and execution of projects.

Essential Functions and Responsibilities:

  • Monitor assigned projects to ensure that projects are delivered on-time, within scope and within budget (“Triple Constraints”).
  • Manage changes to the project scope, project schedule and project budget using appropriate verification techniques.
  • Assist in preparation and conducting of project kick-off meetings internally.
  • Utilizes and implements best practices, tools and templates developed by HCATS Project Management Office (PMO)
  • Create client-facing documents for the project’s requirements; Gantt charts, project charters, communication plans, governance plans, dashboards, various memos.
  • Develop detailed project plans (Gantt charts) that ensure optimal quality and feasible schedule for all functional groups.
  • Create and maintain a comprehensive project-related documentation repository (i.e., SharePoint). Create internal documents reports; additional service requests, risk management, hours analysis, monthly production and production forecast.
  • Track project performance, specifically to analyze the successful completion of short and long-term goals.
  • Analyze projects to identify all risks and prepare risk mitigation strategies. Monitor projects on an ongoing basis; evaluating progress and quality, adherence to scope, timelines, budget, managing issue resolution, and taking corrective action as necessary.
  • Owner of project management-related responsibilities – meeting agendas, meeting minutes, action registers, risk registers, Project Dashboards, etc.
  • Document all records of issues in projects and monitor projects to ensure alignment to all project goals; identify all potential issues and assist in resolution.
  • Organize and facilitate various meetings with internal and external project team members to achieve deliverables.
  • Participate in client meetings and monitor all activities of internal team members as they relate to contract deliverables.
  • Work with Project Managers to trend KPI metrics and communicate metric results and project summaries to executive management Work with Production Planner and Operations Management to implement resourcing strategies for incoming projects and ensure personnel workforce coverage.
  • Coordinate schedule of all additional activities related to the project as it progresses.
  • Build constructive and effective relationships with colleagues by solving problems and working through issues as a team.
  • Work closely with site Operations and Quality management to manage and prioritize the production schedule as it relates client deliverables and deadlines.
  • Coordinate with other departments for understanding of raw material requirements, testing requirements, documentation requirements, validation & maintenance requirements, and scheduling.
  • Perform other Project Management-related duties as assigned. Primary client contact.
  • Provides direct oversight and drives deliverables for all location-based clients. Managing multiple cross-functional project teams simultaneously and reporting project status to North American Leadership Team and Functional Directors.
  • For client-sponsored projects - Manage projects to support the development and commercialization of cellular therapies through customized services such as product development, technology transfer, validation, product manufacturing, distribution, storage and transportation.
  • Understand a project’s scope through internal collaboration with Sales and Account Management (as applicable) as well as thorough review of legal client services agreements.
  • Create and obtain alignment on customized Project Charters for assigned projects. Definition of project scope and objectives, involving all project stakeholders and ensuring technical feasibility.
  • Prepare and conduct project kick-off meetings internally as well as with clients; to communicate individual roles, project expectations, and ensure that all project team members have the tools and knowledge required to perform effectively.
  • Meet budgetary objectives and adjust project constraints based on financial analysis.
  • Manage project resources efficiently and assist internal teams to accommodate all requests from project team members.
  • Facilitate client meetings and monitor all activities of internal team members as they relate to contract deliverables
  • Monitor overall health of assigned projects and prepare status reports to internal stakeholders as well as clients as needed. Continuously develop additional tools and refine processes to facilitate project performance. Proactively identifying issues that may lead to scope changes, planning conflicts and/or cost changes. Recommending appropriate risk mitigation strategies, contingencies, and actions to be taken. In collaboration with PPU Heads and Client Engagement team, create meeting materials for Project Steering Committee meetings

Qualifications:  

  • Bachelor's degree (Biology, Biotechnology, Bioengineering, Chemical Engineering preferred).
  • 2+ years of proven experience in various aspects of Project/Program management
  • 2-4 years relevant experience in biotechnology, life sciences, pharmaceutical or medically related field
  • 2-4 years of leadership experience or equivalent combination of management experience. Proficiency in project management principles, practices, and tools such as MS Project (Gantt charts) is required Project Management Professional (PMP) certification is a plus
  • Experience with the preparation of reports and/or presentations/communications via presentation tools such as PowerPoint, project dashboards and written reports
  • Ability to work with large data sets and to integrate data across various reports.
