We are seeking a highly motivated individual to join us as a Senior Administrative Assistant to support the Vice President of Translational Medicine at Kite, a Gilead Company. You will handle a wide range of support functions in a dynamic, growing environment. You will be a key member of the team and like everyone on the team you may be asked to jump in to assist in areas outside of your primary responsibilities. You will be flexible to support urgent activities outside the regular work hours as needed, dedicated, and resourceful with a high level of professionalism and confidentiality is crucial to this role.

Responsibilities (include but limited to):
  • Handle schedules and coordinate travel and logistics for the Vice President of Translational Medicine as well as their direct reports
  • Scheduling team meetings
  • Making bank deposits and post office trips
  • Accounts payable duties (vendor files, contacting vendors, etc.)
  • Prepares materials and presentations for meetings and set up rooms as needed
  • Generate meeting minutes or collect action items as needed and appropriate
  • Responsible for processing and completing expense reports
  • Answers calls and assists in handling emails
  • Provides general administrative support, including providing copies, maintaining files and updating shared files on the server
  • Assists in coordinating interviews and greets candidates
  • Assists with planning company and department events
  • Assist with seating assignments & IT provisioning for departmental hires
  • Other duties as assigned


Requirements:
  • 5+ years' experience in a senior or executive administrative role with at least 5 years' supporting senior level executive (s)
  • Bachelor's degree (or equivalent experience)
  • Extraordinary attention-to-detail with the ability to meet bold deadlines
  • Skilled in organizing and prioritizing meaningful time demands
  • Excellent written and verbal interpersonal skills with ability to effectively communicate and partner with all levels of the organization
  • Deep understanding (advanced skills) of Word, Excel, & PowerPoint
  • Ability to adapt in a constantly evolving environment
  • Ambitious with a strong sense of ownership in areas of responsibility
  • Understanding of the importance of confidentiality and discretion
