Summary:
R&D is looking for an administrator coordinator to provide comprehensive administrative support to 100+ employees in two distinct research departments: includes a VP, directors, managers, scientists, and research staff. The ideal coordinator candidate is extremely organized, detail-oriented, and a quick learner that possess high-level time management skills. They must be able to work independently as well as with a team. As this position requires supporting two departments with little interaction, the ideal candidate must be proactive, motivated, and a self-starter with a strong ability to multi-task and juggle multiple priorities and needs.

General responsibilities include calendar management, managing meeting invites and all associated logistics and communications, coordinating travel and processing expenses, as well as other administrative and operational support for the department.

Responsibilities include but are not limited to:

• Provide comprehensive administrative support for a VP and several directors as well as general administrative support to various levels of management and research personnel within the department.

• Proactively maintain department and managerial staff calendars; including meeting invitations and logistics (agenda items, invite and attendee lists, conference rooms, A/V, catering, etc.) while utilizing and applying a basic understanding of department priorities to actively resolve conflicts.

• Facilitate and coordinate the scheduling of meetings and other department initiatives, including but not limited to meetings, conferences, interviews, events, guest speakers/visitors, and celebrations, including all necessary logistics.

• Schedule a high volume of laboratory tours.

• Assist department employees with travel arrangements, conference registration, and expense reporting.

• Responsible for distributing incoming mail and coordinating external shipments.

• Order, stock, distribute, and take inventory of office supplies and other specialty supplies as needed/requested.

• Compile and process various departmental documents, correspondences: Involves processing forms, entering data, maintaining records and generating reports as required.

• Serve as a liaison and key resource to provide information and answer inquiries regarding department operations and company policies and procedures.

• Maintain a comprehensive understanding of department operations and company policies and apply that knowledge to serve as a key resource to answer inquiries and resolve both routine and adhoc administrative problems.

• Build and maintain positive, professional relationships with employees at all levels and external partners to facilitate communication, deliver results and ensure a positive work culture and environment.

Requirements:

• Associates or BA strongly preferred.

• Minimum of 3- 5 years of relevant administrative experience supporting a large team in a fast-paced environment.

• Excellent organizational skills with demonstrated attention to detail.

• Collaborative team-player that can work independently and possesses excellent oral and written communication skills.

• Ability to juggle multiple priorities and work effectively under pressure.

• Ability to learn new technologies and systems quickly and easily.

• Strong knowledge of Microsoft Applications (MS Outlook, Word, PowerPoint, Excel) and Adobe Acrobat is required

Project Management experience is preferred.
