The Manager, IT VMO will manage all aspects of the IT Vendor Portfolio including establishing & improving processes for Procurement and Contracting Operations, Vendor Performance Management of vendors and IT Asset Management. Tight coordination with Legal, Finance, Procurement, IT Management and Vendors required. This position is instrumental to the execution of IT strategy and supporting program and project portfolio.
Key Tasks and Responsibilities

OPERATIONS:
  • Establish processes, tools, templates and systems for use in vendor management, from vendor evaluation thru selection, contracting, negotiations, vendor services implementation and ongoing performance monitoring and management.
  • Classify, rank, rationalize and optimize vendor portfolio, and concentrate efforts on managing strategic vendors.
  • Ensure metrics and KPIs are established to ensure optimal performance management.
  • Organize routine vendor business review meetings with vendors and internal management, Procurement, Legal, Finance to maximize contract value and mitigate risks.
  • Direct procurement support staff on process and monitor for efficient processing of procurement requests for IT.
  • Operations: Track and report summary IT vendor spending by category, cost center, vendor.


ASSET MANAGEMENT:

  • Maintains records of licenses, warranties, service agreements for hardware and software for the organization.
  • Leverage ServiceNow, SCCM + similar systems and tools to collect and track data.
  • Knowledge of CMDB and certification in Software Asset Management, IT Asset
  • Management preferred to support this sub-function of the position.


PERFORMANCE MANGEMENT
  • Collect detailed data to enable build of analytics, dashboards leveraging systems that track work items, such as ServiceNow etc.
  • Develop vendor scorecards and dashboards for effective vendor performance assessment and management by IT functional area management.
  • Identify opportunities to improve IT processes and any process IT is dependent upon, to shorten lead-time for critical products and services towards project portfolio delivery.
  • Develop vendor improvement roadmaps by applying knowledge of external benchmarking from market intelligence to identify continuous improvement opportunities.
  • Develop SLAs, based on industry and AbbVie best practices, leveraging vendor management network at AbbVie HQ.
  • Comply with all company policies, code of conduct, legal and Corporate Compliance mandates for vendor management


RELATIONSHIP MANAGEMENT: PARTNER with IT MANAGEMENT Locally & HQ
  • Establish and maintain proper Governance and controls for IT VMO
  • Assist IT Service Delivery Managers in developing acumen to optimize their management of vendors, to achieve highest value from vendor services, including formalized training program for IT Management, leveraging partners across AbbVie IT in US.
  • Educate and reinforce best practice on vendor evaluations (i.e. RFP), contract terms and conditions, product service performance, negotiations, appropriate use of templates.
  • Aggregate and Optimize costs of IT vendor spend while maintaining expected quality and timely service levels across West Coast IT.


RELATIONSHIP MANAGEMENT: VENDORS
  • Develop successful relationships with key IT supplier partners to enable efficient sourcing and operational vendor management support in support of IT.
  • Ensure routine reviews of vendor service delivery are conducted with actionable KPI analysis and astute follow-up to ensure agreed actions, continuous improvement and/or preventative or corrective actions are completed.


Qualified candidate will possess:
  • Knowledge of departmental Budget Management, Procurement, Accounts Payable and Contracting systems principles and processes. Budget Management skills required include Forecasting and actuals reconciliation.
  • Solid experience with ERP, Finance, Contracting systems such as Dynamics AX, SAP or Oracle, Apttus.
  • Minimum of 10 years of experience in Procurement, Sourcing, Buyer area of focus.
  • Bachelor degree in Business, Accounting or related discipline.
  • Ability to multitask with strong prioritization, planning and organizational skills.
  • Strong written skills.
  • Strong verbal communication skills.
  • Fluid comfort and use of Microsoft Office applications especially Excel, PowerPoint, Word, and also Adobe Acrobat.
  • Knowledge of IT hardware, software procurement is preferred.
  • Strong understanding of Legal contract review process is preferred.
