The Senior Manager, PMO will report to the Associate Director, Business Operations Support at the Kite Oceanside viral vector manufacturing site (MVP-01). Business Operations Support provides various types of support to the site - Project and Portfolio Management, Operational Excellence, Business Continuity Management, Risk Management, Knowledge Management, Site Strategy, and Site Communications. As a member of the department, besides having a core area of expertise, you will also be able to learn and contribute in other areas to bring benefit to the site.

This position will implement Program and Portfolio Management at MVP-01, focusing on the project portfolio and the business continuity/risk management programs. This position will partner with the head of business support and will partner with senior leaders to ensure that the site's portfolio is complete, up to date, and projects are correctly prioritized. This position will also play a critical role in coordinating the Kite MVP01 project portfolio with the Gilead Oceanside Biologics site project portfolio. This role will be tasked to develop site project/portfolio governance, portfolio & resource management processes including project in-take, prioritization, status review & reporting, and resource tracking.

Responsibilities:

The Senior Manager will deliver the following objectives:

• Manage and improve the portfolio by providing input for portfolio management process, contributing to the project prioritization framework, sharing portfolio information and communication

• Keep the site project portfolio up to date, evaluate and monitor ongoing projects

• Prepare dashboards for regular management review of the portfolio

• Ensure that all projects utilize appropriate tools and templates and provide training and support as needed

• Harmonize PM practices across programs, the Gilead Oceanside Biologics PPM, and global Kite PPM/PMO.

• Set up and track KPIs and other relevant metrics for the site

• Provide PM support for various projects as needed and assigned

• Support change management and continuous improvement efforts across programs, identifying and addressing gaps and opportunities

• Successfully manage programs through stage gate reviews and complete milestones on schedule

• Manage site knowledge management and non-GMP training program

• Implement and lead site Business Continuity Management and Risk Management programs in coordination with site leadership and global partners

• Other duties as assigned

Knowledge, Experience and Skills:

• 7-10 years of relevant experience in portfolio management (experience in pharma/biotech and/or cell therapy manufacturing is a plus)

• Bachelor's degree in a relevant field (MBA or other Masters-level education is a plus).

• In-depth user experience with using Microsoft Suites including Excel, PowerPoint, Visio, and Project; strong user and administrative experience with Microsoft SharePoint

• Ability to engage internal and external stakeholders effectively, facilitate discussions, influence effectively and develop relationships; Ability to drive efforts and projects through relationships and a broad knowledge base.

• Self-motivated, proactive and responsive, highly organized, results-oriented and attentive to detail

• Certified Associate in Project Management (CAPM) or Project Management Professional (PMP) certificate preferred

• Hands-on experience with data visualization required; experience with developing dashboards using Excel, Spotfire and/or Tableau is a strong plus

• Experience with Project, Portfolio and Resource (including FTE & external spend) planning tools such as Excel modeling, SmartSheet, Jira, Planisware etc. is a strong plus

• Experience in business continuity management and risk management is a plus
