Job Details

The Senior Executive Assistant will report to the Executive Director of US Global Oncology Therapeutic Area Lead and be responsible for providing senior level administrative support and managerial activities as follows:

Position Responsibilities:
  • Proactively manage the ED and D level calendars with a focus on efficient time utilization and time conflict management, ensuring the Executive Director and Director are appropriately represented at all forums
  • Effectively manage administrative staff members on the Oncology GMAL teams, requiring absolute discretion, tact and initiative in resolving issues that may arise
  • Prepare the executives with pre-read and briefing documents in advance of daily meetings
  • Coordinate arrangements for and execute key tasks to effectively manage a variety of global business meetings utilizing Skype, WebEx, and other technologies
  • Schedule, coordinate, and track events reflected on the Executive Director's engagement plan, including All Staff meetings and special events
  • Facilitate the Executive Director and Director engagements with external Opinion Leaders through meetings and other remote interactions. Partner with external opinion leader's executive assistants to facilitate interactions
  • Proactively coordinate domestic and international travel arrangements amidst dynamic business necessities, including congress registrations, dinner, OL and ancillary meeting planning
  • Answer questions/furnish information to keep the executive's time free of minor detail work, including screening and directing incoming calls and correspondence
  • Compose and edit correspondence on behalf of the Executive Director
  • Proactive and timely preparation and processing of expense reports
  • Assistance with special projects as needed
  • Maintenance and retrieval of filed information and correspondence to ensure immediate access
  • Providing backup support to Oncology TA Admin Team
  • Additional responsibilities as assigned


Basic Qualifications:

Associate's degree and 4 years of administrative experience

OR

High school diploma / GED and 6 years of administrative experience

Preferred Qualifications:
  • Bachelor's degree and direct experience supporting a senior executive for a large corporation
  • 5+ years of Administrative Assistant experience
  • 2+ years of staff management experience
  • Amgen experience
  • Absolute discretion and confidentiality, as well as good judgment, creativity, flexibility and initiative in resolving issues
  • Possess fundamental presentation skills (speaking in front of medium to large groups while using appropriate AV equipment)
  • Ability to work in a fast-paced, deadline-driven environment
  • Experience working in the biopharma industry
  • Ability to prioritize projects of greater urgency and importance
  • Expert level PC skills in MS Word, PowerPoint, Excel, database skills, SharePoint and advanced typing skills
  • Must be a Team Player and a Role Model
  • Excellent written, verbal, and presentation skills in communicating key business and clinical information
  • Excellent time management, organization and project management skills
