Job Details

Assembly Bio is searching for an Executive Assistant who will directly support the CEO and his Executive team. As EA to the CEO, you will seamlessly manage the competing and urgent priorities of the Executive office while always maintaining composure. In parallel, as you develop your understanding of the team and the organizational needs, you should be able to proactively triage requests and inquiries while making a point to be available and approachable to everyone. To be successful as EA to the CEO, you should be optimistic by nature and enjoy tackling new tasks and projects.

Key responsibilities include
  • Perform confidential executive administrative functions for the CEO, including complex administrative and project coordination for executives and senior management.
  • Ensure that the CEO is prepared for all meetings and events and assist with preparation of presentation materials.
  • Manage sensitive calendars requiring coordination with both internal and external stakeholders. Calendar management includes events and high-profile meetings that require a solid understanding of event requirements and coordination of dependencies. Proactively manage and resolve conflicts and ensure calendars are accurate and current.
  • Coordinate all domestic and international travel arrangements with impeccable attention to detail; plan, prepare and communicate travel agendas in a timely fashion.
  • Find new and efficient ways to create and maintain systems and processes to help maximize the CEO's time, including weekly reporting, goal setting, and team meetings.
  • Manage the Administrative team for Board meetings and future Scientific Advisory Board meetings as it relates to calendars, travel, materials.
  • Responsible for a high volume of correspondence which must be accurate and free from errors.
  • Responsible for accurate and timely reporting and processing of expenses and related invoices.
  • Prepare PowerPoint and other presentations, correspondence and required reporting, timely and accurately.
  • Directly manage the Administrative team across Assembly Bio.
  • Model Assembly Bio's value of customer service excellence.

Preferred Qualifications
  • Associates degree in a related discipline, Bachelor's degree or relevant work experience.
  • 8+ years of work experience as an executive assistant.
  • Ability to work well under time pressure.
  • Strong computer skills (MS products preferred) Proven proficiency in PowerPoint, Word and Excel.
  • Excellent verbal and written communication skills are a must.
  • Strong proofreading skills.
  • Must possess interpersonal skills with the ability to work with a wide variety of internal and external business contacts.
  • Strong analytical skills.
  • Ability to organize and manage multiple projects.
  • Must be able to work independently and in an executive office, juggling many priorities against tight deadlines in a fast paced, high-energy environment.
  • Demonstrate the highest degree of confidentiality and integrity.
