Join Gladstone to Support Science Overcoming Disease

The Gladstone Institutes is recruiting a well-organized, highly skilled and motivated Administrative Assistant to provide administrative support to the Office of the President. Position will report to and work closely with the Chief of Staff in support of the activities of the President. Key duties include calendar management, expense reports, and assisting with preparations for meetings and events.

Responsibilities:
  • Assist in managing President's calendar. Schedule meetings and appointments, including pro-actively resolving schedule conflicts, reserving conference rooms, and arranging refreshments, as appropriate.
  • Coordinate travel arrangements and prepare detailed itineraries.
  • Maintain accurate records and efficient filing system for easy access to key information.
  • Perform a variety of accounts payable and/or receivable activities, including preparing check requests and purchase orders, reconciling credit card statements, and processing and tracking expense reports.
  • Coordinate seminars and special events, including visitor's travel arrangements and agenda, catering, venue reservations, etc.
  • Perform a variety of routine clerical activities, including monitoring and maintaining office inventory; distributing mail; filing, scanning, and copying confidential documents.
  • Perform other duties as assigned.


Requirements

Qualifications

  • BA/BS preferred.
  • A minimum of three years of experience performing administrative support activities in a fast-paced and highly confidential environment.
  • Experience with complex calendar management.
  • Demonstrated ability to follow directions with accuracy.
  • Ability to multi-task and prioritize.
  • Excellent written and verbal communication skills, including grammar, spelling, and editing.
  • Strong interpersonal skills, ability to communicate in a professional manner with tact and discretion, and ability to work well independently and collaboratively.
  • Highly proficient in all aspects of general administrative support.
  • Interview process will include tests for formatting, proofreading, and drafting correspondence.
