ABOUT THE POSITION:

This position is responsible for supporting Santen's Legal and Compliance Departments' contracting, compliance, and operations support functions. Duties include monitoring Santen's contract management system, auditing payment records for Compliance, conducting operations training for business units, and other special projects as requested by the Directors of Legal and Compliance respectively. This position reports to the Directors of Legal and Compliance and works in collaboration with the Legal and Compliance Specialist.

ESSENTIAL DUTIES AND KEY DELIVERABLES:
  • Intake of all contract requests in Coupa, auditing for compliance with global and local SOPs, policies, and regulations
  • Utilize the Coupa approval processes to enforce Santen's global and local SOPs, policies, and regulations
  • Carry out workflows in Coupa for efficient internal and external approval of contracts, grant requests, HCP service requests, and other legal/compliance forms contracts
  • Develop and improve existing Contracts and Compliance processes to maximize efficiency
  • Monitor Coupa workflows, conducting gap analysis and collaborating with IT to troubleshoot integration errors
  • Audit and monitor spend data in Coupa and Concur to ensure adherence to Compliance policies/ SOPs and local/federal regulations
  • Assist with routine Contracts/Compliance trainings of business teams to ensure internal compliance with contracts processes
  • Collaborate with IT and business teams to implement Santen's document retention policy, under attorney supervision
  • Collaborate with IT to manage, update, and administer rights to public and private legal department intranet and Coupa
  • Perform Coupa CLM trainings for Japan business teams, in both English and Japanese
  • Perform special projects as needed as assigned by management

QUALIFICATIONS:
  • 2-3 years of project management experience in a corporate environment, experience in the pharmaceutical industry preferred
  • Demonstrated experience with commercial contracts, HCP contracts, and grant/sponsorship requests
  • Project management and data analytics experience preferred
  • Strong ability to work collaboratively and efficiently with others in a legal department as well as internal client functions
  • Demonstrated client service orientation: able to recognize and respond quickly to urgent situations, with sound judgement in escalating critical matters as appropriate
  • High attention to detail, strong work ethic, is able to take initiative, and excellent time management and follow-through skills.
  • Exceptional written and oral communication skills, including presentation capabilities
  • Coupa, Concur, SAP, and Outlook experience preferred
  • Bachelor's Degree in Business Management preferred
  • Fluency in Japanese and English required
