Summary:

4 Month assignment to provide general administrative support to various levels of management and staff. The role requires basic knowledge of practices and procedures. General guidelines and instructions are provided for responsibilities. General responsibilities may include calendar management, managing meeting invites and logistics, coordinating travel and processing expenses, technical support for department with administrative support for applications and Microsoft suite as required, or other specialized support as required. Direct supervision is provided.

Job Duties:

• Responsible for managing optimization of meeting schedules for leaders as well as managing basic scheduling conflicts.

• Responsible for submitting requisitions and tracking department purchase order requests.

• Coordinates basic administrative workflows within the department and may help streamline processes.

• Collaborative with proficient written and oral communication skills; effective customer service; ability to interact with all levels of employees and maintain confidentiality. Ability to prioritize and multitask is required while maintaining a high level of accuracy and attention to detail.

• Manages calendars including meeting invitations and all associated logistics using basic understanding of priorities while seeking guidance. Also responsible for managing optimization of meeting schedules for leaders as well as managing basic scheduling conflicts.

• Together with a supervisor or team leader plans internal and external department meetings and events, these may include but are not limited to department meetings, celebrations, and team building events. General responsibilities include managing agenda items, attendee lists, logistics, securing space. Responsible for catering for meetings and events scheduled over meal periods. Where applicable, assist employees and guests with travel and expense reports. May also be responsible for collaborating with Strategic Sourcing and Procurement to manage and negotiate contracts for off-site meetings as well as managing meeting/event budgets within the approval limit.

• Demonstrates a basic understanding of company policies, procedures, resources and where to find them and acts as a key point of contact for the department. Maintains department contact lists/org charts, records and files, process forms, receives mail, may screen phone calls. May assist Corporate Communications or other Admins in gathering content and maintaining by providing basic support for department SharePoint sites and/or RON pages.

• Responsible for ordering basic department office supplies. May also be responsible for submitting requisitions and tracking department purchase order requests.

• Works with supervisor to act as a point person for all new employees within the department(s), coordination with IT, Facilities, and Procurement, communicates with space planning.

• Coordinates basic administrative workflows within the department and may help streamline processes. Makes recommendations for solutions to issues.

• May provide backup support and coverage for other administrative coordinators.

Requirements:

Education

• Associates or BA preferred;

Experience

• Minimum of 2 years of relevant experience.
