Job Summary:

The Administrative Assistant II, Legal & Corporate Affairs will provide administrative support throughout the Legal & Corporate Affairs department (including extensive filing for litigation and records management matters) and providing coverage for other LCA administrative assistants as needed. This role is responsible for general oversight of day-to-day office operations at the organizational unit level. This individual will perform support tasks and acts as a preliminary face of the function to external parties. Responsibilities are accomplished with an increased understanding of more complex work. This position will make decisions with limited guidance and solve problems while carrying out assigned tasks, with limited supervision. Additionally, this position is responsible for upholding a strong commitment to confidentiality and frequently handles sensitive documents that may impact an organizational unit or project team. This position operates standard office equipment, has intermediate skills in technology systems, including word processing software and business emailing software, and basic skills in database and research tools.

Responsibilities:
  • Prepares and maintains files according to established guidelines, with limited supervision
  • Creates and proofs packets of information; develops standard documents according to established guidelines
  • Drafts and edits basic communication with some complexity and assists with mailings which may including mass merges from database software reports; responds directly to routine inquiries
  • Manages calendars, including meeting and travel coordination as well as schedules and confirms internal and external appointments for individuals
  • Greets external visitors, answers external phone calls and directs appropriately with limited supervision; majority of internal contact is within an organizational unit or specific project team
  • Implements projects or process improvements with supervision, for example, processing expense reimbursements and ensures timely completion of expense reports
  • Moving/organizing large boxes of supplies, file folders, office equipment, etc. Shipping out large packages/boxes. Checking office equipment when not working properly, such as Xerox machine or conference room projectors. Ordering meals and setting food up.

Education/Experience:
  • Requires 2 - 5 years of prior experience
  • High school diploma or equivalent required, Associate degree preferred; or equivalent work experience
