Amgen is looking for a high energy, dynamic, organized administrative professional to support the Executive Director of the Research and Medical IS (Information Systems) organizations. The Research and Medical IS leader is a client facing IS executive with accountability for all technology products and services delivered to the Global Research, Global Medical, and Research and Development Compliance functions at Amgen.

This Administrative Coordinator role requires a versatile and high-performing individual to help drive and support key initiatives and perform a variety of complex administrative support activities. Work assignments are a mixture of routine and non-routine activities such as: assisting with report generation as requested; facilitating the tracking of deliverables and timelines as directed; managing the coordination of meeting logistics, minutes and other duties as assigned. This role will work closely with the Chief Information Officer (CIO) executive leadership team, and their assistants, to provide broad support of enterprise wide business decisions.

Key responsibilities include:

• Managing calendars and scheduling meetings

• Ordering office supplies

• Arranging purchase orders

• Making travel arrangements & preparing expense reports as requested

• Assisting with preparation of presentations

• Managing departmental administrative files

• Performing administrative duties as assigned

• Maintaining distribution, contact and personnel lists

• Coordinating mailings and courier/deliveries

• Managing the administrative aspects of relationships with outside experts and vendors

• Participating in department project teams

• Provide backup support to additional department ACs

• Managing individual and team calendars (Outlook)

• Coordinating local and international meetings: arrange travel, meeting arrangements, visitor accommodations

• Organizing meeting rooms, including logistics, catering and equipment needs

• Preparing agendas and taking action items as required.

• Assisting with special projects as requested

Basic Qualifications

Associate's degree & 2 years of Administrative experience

OR

High school diploma/GED & 4 years of Administrative experience

Preferred Qualifications

• Bachelor's degree

• Experience working in biopharma industry

• 5+ years of experience in an administrative support role supporting large teams at different levels

• Excellent organizational skills and ability to manage multiple people at once (calendars too)

• Detail-oriented proven skills

• Excellent travel and meeting planning skills

• Good external customer communication skills

• Strong Outlook, Excel, PowerPoint Skills

• Excellent Time Management skills

• Ability to prioritize projects of greater urgency and importance

• Excellent Project management skills

• Calm under pressure

• Amgen experience

• Managing multiple calendars including coordination across multiple time zones

• Excellent written, verbal, and presentation skills in communicating key business and clinical information

• Experience providing administrative support to remote staff

• Ability to work in a fast-paced, deadline-driven environment

• Helpful, can-do attitude with a solution-oriented approach

• Discretion in dealing with proprietary information
