Summary:

The Training Meeting Specialist is a key contributor to the training department responsible for:

- Supervise the meeting planning, arranging and oversee the logistics of Immunology training classes (on site in Sleepy Hallow and off site as well) and department organized meetings as assigned.

- Develop and propose plans for the travel of colleagues to and from meetings, arrange local transportation and lodging.

-Manage the logistics of each class or meeting, and the planning of all aspects of catering, materials, logistics, evening functions, etc.

- Facilitate the preparing, editing and distributing of all agendas, plan and communicate logistics, developing itineraries and welcome packets, distributing materials for all training participants and meeting attendees.

- Lead in the implementation of newly developed training content apps and web sites by working with both internal stakeholders and outside vendors.

- Lead a cross function team in the development and planning of meetings and training programs.

- Create and manage meeting registration sites, pre and/or post-meeting surveys and disseminating related summary reports as requested.

- Develop plans to help implement and assist in hosting training related conference calls, webinars and other distance learning and meetings.

- Organize and implement training materials including slide presentations, printed materials, managing assignments on mobile training applications, e-Learning programs and coordinating schedules for speakers, presenters and guests.

- Lead initiatives within the Regeneron Learning Management System to track curricula completion for all personnel as assigned against a defined individual training plan ranging from initial training to advanced training and role specific certifications, and all training as required by compliance.

- Be accountable for all SharePoint archiving, and for keeping all training records and documents, and producing reports as requested.

- Oversee the appropriate ordering and maintaining of training supplies, materials, and audio-visual equipment as required for each program, develop practical class schedules, procuring meeting locations and ensure adequate size, space and room set up to meet training needs, successfully communicate expectations to hotels and meeting facilities and trouble.

Responsibilities:

Manage New Hire Programs, Training and Off-Site Meetings

• Lead the hotel sources process

• Develop the RFP and work to procure proper Hotel or meeting space

• Manage as the key liaison to all Hotel staff and meeting staff

• Develop and propose proper Room Lists/Room Blocks, Food (dietary needs) and Beverage

• Lead the arrangement of ground transportation & air travel

• Facilitate leadership conferences to help build Brand team agendas and collaborate with senior leaders on attendee management of large company meetings

• Build and manage Registration websites

• Work with District/Regional Sales leaders for Break out room needs

• Facilitate with training brand leads new hire Web ex / virtual classroom logistic management.

Lead and Facilitate POA Planning Meetings

• Planning conference calls to organize logistics, agenda Management & take meeting minutes

• Action Items/Follow Up, JRC Deadlines

• Secure Venues, Pick Menus, Secure Entertainment & Budget Management

• Assist with Vendor Management, Production and Creative Agencies

• Partner with Procurement and Open Requisitions

• Collaborate with primary internal functional groups

Requirements:

BS Degree required
Must be able to travel 40-50%. Travel required for site visits, company events/meetings.

- Strong strategic thinking and problem solving skills
- Demonstrated ability to plan, manage, organize and execute complex programs involving large numbers of people
- Ability to execute these programs within specific budget expectations
- Strong interpersonal communication skills, both written and verbal
- Ability to prioritize, organize, and work independently
- Development of tracking programs to maintain required records of completion for all training programs
- Ability to utilize the full suite of MS Office software and calendaring functions
- Ability to work within and manage complex training systems
- High level of detail orientation
- Ability to travel as needed
- Minimum of 3-5 years of previous meeting planning experience preferred
