Overview

Organize and conduct purchasing activities for laboratory, IT, and general office supplies. This position will evaluate requests and general inventories, negotiate for cost effective pricing, create purchase orders (POs) to effect ordering, and confirm shipment and delivery are accurate and timely.

Coordinate and maintain requests for proposals (RFPs), purchase requests (PRs) with associated contracts and/or agreements. Ensures PRs and contracts and/or agreements are renewed and approved on a timely basis to minimize delays and/or disruption in the business.

Responsibilities

  • Prepare Purchase Orders (POs), Purchase Requests (PRs), and/or Request for Proposals (RFPs), review bids/quotes & negotiate with suppliers for laboratory and office supplies or equipment.
  • Manage inventory to meet the needs of the business by coordinating with end users on specification, price, quantity, preferred vendor status, and availability.
  • Negotiate prices and terms with suppliers, quality and delivery competitiveness for assigned responsibility.
  • Monitor, expedite orders and resolve discrepancies with quality or quantity of goods.
  • Evaluate vendor reliability and seek out new supply sources, as appropriate.
  • Initiate & maintain Master Agreements and Certificates of Insurance for equipment and service maintenance contracts.
  • Collect, analyze and summarize data and purchasing trends for planning and budgeting.
  • Obtain W8/W9 forms and remittance information for new vendor accounts.
  • Maintain petty cash drawer.
  • Support the organization in maintaining a work environment focused on quality and that fosters learning, respect, open communication, collaboration, integration, and teamwork.
Other duties and special projects as assigned.

Qualifications

  • Bachelor's degree with 2+ years of purchasing experience in the Biotechnology/ Pharmaceutical industry for the level II position or equivalent experience. The level III position requires 3 to 5 years' experience and the incumbent in the senior position will have 8+ years progressive experience
  • Excellent computer skills and Excel knowledge.
  • Must possess general knowledge of cost management, inventory, and budgeting at the II and III level. The senior level will have in-depth knowledge.
  • Must have excellent interpersonal and verbal & written communication skills to work with and maintain positive working relationships across the organization and with vendors.
  • Ability to evaluate data and make recommendations or decisions for purchases.
  • Possess persuasive and diplomatic negotiating skills for terms, price, and delivery of goods or services. At the senior level, experience with complex negotiations is highly desirable.
  • Must be able to prioritize, work independently and troubleshoot discrepancies.
  • The senior level will have experience in best-in-class purchasing practices, and some experience in operational excellence.
  • Must be dependable, organized, detail oriented, and completes assigned tasks on-time.
  • Personal attributes include flexibility, curiosity, integrity and good judgment.
  • The ideal candidate will be professional, personable, and discrete to ensure privacy and confidentiality of company business, employees and guests.
  • Must be able to lift 25 pounds, have a valid driver's license, and good driving record.
