The Customer Experience (CE) Associate Director - Enterprise US Conventions is responsible for leading a team of four event marketing professionals and overseeing all activities for AbbVie's US Commercial Conventions. This includes (but is not limited to): Event Strategy/Experience Design, People management, Vendor Management, Financial/Budgetary Management, Enterprise Initiatives, Integration with Global teams and Travel (to conventions to ensure best practices and onsite management of vendors and staff). This role is responsible for independently managing large scale initiatives, on top of the management of the department's day to day of a significant amount of conventions. Reporting to the Director, Enterprise Innovation & Operations, the Associate Director will be responsible for not only incorporating Event Marketing best practices & approaches but developing new tools and processes to maximize AbbVie's value. This position will focus on customer experiences for Health Care Professionals / Managed Care, depending on assignment

ESSENTIAL RESPONSIBILITIES:

  • Event Strategy & Planning - strategically plan in some of the following ways:
    • Coach team to lead Convention Experience Design workshops (pre, during, post) to enhance our customer experience at the booth and throughout the convention
    • Optimize data capture capabilities
    • Tool development to make Convention planning more turnkey at State/Regional Conventions
    • Negotiation strategy for annual vendor contracts
    • Integration with other AbbVie Departments for joint Conventions
  • Tactically plan in some of the following ways:
    • Conduct weekly team meeting to review the status of all the Conventions
    • Ensure the Convention Managers execute each Convention flawlessly
    • Ensure Budgets are set and achieved for each Convention, as well as the Enterprise budget
    • Hold team accountable to pre/post Convention metrics through reports and presentations
    • Accountable for the Capital Expense budget and tracking all invoices related to the expenses
      • Submit monthly LBE on Capital expenditure pacing
    • Oversee all Quarterly Business Reviews with major Vendors
    • Oversee all Quarterly Marketing team updates
    • Liaison with the Media team to ensure all sponsorship media and supporting paid media is executed as planned
    • Power Point presentations for senior leaders


GENERAL QUALIFICATIONS:

College degree, with 7 - 10 years of US Convention/Event Marketing, Customer Experience or Pharma industry experience

  • Bachelor's degree in Business or Marketing with 5 - 10 years of work experience in the healthcare of pharmaceutical arena or other highly regulated industry. Experience with start to finish planning/executing multi-channel convention or marketing programs/campaigns and strong follow-through responsibilities demonstrated
  • Managerial experience (3 - 5 years) of individual contributors preferred


DESIRED QUALIFICATIONS:

  • Must be able to determine a convention's goal, purpose, message and impression and provide input to internal clients
  • Ability to manage multiple projects and vendors simultaneously with high attention to detail and adherence to departmental process
  • Ability to multi-task and oversee several conventions, vendors, internal constituents, at one time, face many deadlines and coordinate activities of different groups of individuals
  • Extremely organized and proactive with the ability to collaborate in a fast-paced team environment
  • Attend convention industry trade shows to keep up on anything new in the marketplace
  • Must be able to negotiate with vendors, agencies and associations
  • Ability to travel as the US Convention schedule demands and continue to work on multiple projects despite operating from remote locations
    • Travel will include weekend
    • Travel approx. 10 - 20% domestic, depending on what's needed
  • Familiarity with PHRMA, CFR, Sunshine Act and global pharmaceutical requirements a plus


GENERAL COMPETENCIES:

  • Strong communication (both written and verbal) and business acumen

  • Strong with Microsoft software tools, including Word, Excel, Power Point, Outlook, and able to learn new programs specific to the Conventions industry
  • Exceptional functional knowledge; can be viewed as a Subject Matter Expert in Convention Marketing
  • Inquisitive with strong analytical skills, including the ability to infer and apply learnings
  • Ability to work effectively with cross-functional teams and influence to ensure deliverables and deadlines are met
  • Strong Vendor management, including the ability to delegate responsibility, overseeing and management work and priorities, provide coaching/mentoring/difficult feedback to ensure AbbVie's high-quality standards are always met
  • Candidates for this position must be willing and anticipate long work days during shows. Work hours may be long and irregular, especially in the time leading up to a convention and at the convention
