Job Details

The Senior Executive Assistant supports the Vice President of Quality Sciences and Technology and Executive Directors in Quality and will be responsible for performing numerous administrative duties. The Senior Executive Assistant works closely with the team to support administrative needs, assist in project management communications, and ensure appropriate efficiencies and processes are in place to streamline and execute work. The ideal candidate is highly self-motivated, professional, and capable of managing their work load and prioritizing tasks in a fast-paced corporate environment.

Responsibilities:

• Proactively manage the executive's calendar with a focus on efficient time utilization and time conflict management, ensuring appropriate representation at all forums

• Independently coordinate and calendar meetings, including complex onsite/offsite meetings

• Prepare the executive with pre-read and briefing documents in advance of daily meetings

• Plan and organize work to ensure accurate and logical organization of files/document/records, ensure effective control of forms, and control confidentiality of files

• Coordinate arrangements for and execute key tasks to effectively manage a variety of global business meetings utilizing Skype technology

• Coordinate executive communications, including taking calls, responding to emails and interfacing with clients

• Prepare internal and external documents for team members

• Coordinate domestic and international travel arrangement amidst dynamic business requirements

• Preparation and processing of expense reports in Concur

• Support the coordination, planning and preparation needed to effectively execute certain projects as needed

• Maintain an organized electronic filing system

• Uphold a strict level of confidentiality

• Develop and sustain a level of professionalism among staff and clientele

Basic Qualifications:

• Associate degree and 4 years of administrative experience

OR

• High school diploma/GED and 6 years of administrative experience

Preferred Qualifications:

• 5+ years of experience as an Executive Assistant reporting directly to senior management

• Previous Amgen Experience

• Experience working in biopharma industry

• Ability to prioritize projects of greater urgency and importance

• Outstanding written and verbal communication skills, as well as interpersonal skills

• Establish professional relationships to achieve business results

• Outstanding organizational skills and ability to manage multiple projects

• Ability to work effectively in an ambiguous environment

• Awareness of manager's goals, as well as department goals and objectives

• Ability to understand department specific technical information and seek outside resources

• Act as a liaison between groups under the responsibility of the executive and other groups that the team interact with

• Advanced Microsoft Office skills

• Proficiency in collaboration and delegation of duties

• Proactive in thinking and able to identify potential issues, track action items and look for areas of continuous improvement

• Maintain an unyielding level of confidentiality and integrity with all information that flows through the role
