Job Details
KEY ROLES/RESPONSIBILITIES
The Secretary I will provide procurement and logistical support to the scientific and administrative staff of the Basic Science Program, and the Center for Cancer Research laboratories supported by the BSP.
Duties will include, but are not limited to:
- High volume purchasing of goods and services using all 3 mechanisms (Blanket Order, Purchase Request, credit card) either by telephone, email, or via the internet (domestic vendors and international)
- Entering Blanket Orders, Credit Card Orders, and PRs, into DELTEK CostPoint
- Completing credit card reconciliations, addressing invoicing issues, requesting direct payments via Corcentric
- Completing required forms, sorting and distributing mail
- Using existing file systems (electronic & paper) to maintain proper documentation
- Receiving and referring calls, and electronic communications appropriately
- Facilitating travel for employees to include entering before and after travel packages into DELTEK Time & Expense
- Entering expense reports for employees, and non-employees/speakers into DELTEK Time & Expense
- Use financial reports in Cognos to monitor spending and budgets, and research orders placed
- As determined by the program requirements, this position may be designated as a Primary Driver and will be responsible for complying with the Leidos Biomedical Use of Government Owned or Leased Vehicles Policy.
- Performs other related duties as assigned by a responsible authority
BASIC QUALIFICATIONS
- Possession of high school diploma or equivalent.
- In addition to educational requirement, a minimum of one (1) year clerical/secretarial experience.
- Ability to coordinate office activities with other team members
- Experience MS office, particularly Outlook email/calendaring, Word, and Excel
- Knowledge and use of proper English/grammar/spelling/punctuation
- Ability to perform work assignments independently or alongside other team members in the required/expected timeframe, and in accordance with the established policy and/or procedure
- Ability to work in a fast-paced, challenging, multi-priority environment
- Ability to communicate tactfully with the customers and colleagues
- Must be able to obtain and maintain a security clearance
PREFERRED QUALIFICATIONS
- Previous experience providing purchasing support at the FNL, using any, or all,
mechanisms - Previous experience using Deltek CostPoint, Deltek Time & Expense, Cor 360, Cognos
