Senior Program Manager, Medical Affairs Operations
General Position Summary/Purpose:
The Senior Program Manager (SPM), Medical Affairs Operations (MAO) is responsible for leading and managing operational, organizational, and reporting related activities within Medical Affairs (MAF). The SPM will play a key project managerial role and will lead Pharmacyclics' internal cross-functional meetings across all histologies. In addition, the SPM will create department deliverables such as progress dashboards, metric reporting, and newsletters. Finally, the SPM will work closely with the Director, MAO, to design and maintain a centralized storage repository (e.g. SharePoint) for departmental files facilitating ease of access and utility across all sub-functions.
Responsibilities:
- Project manages and supports the Disease Area Lead team in operationalizing the cross-functional extended medical affairs leadership team (eMALT); solicits content for agenda, facilitates the meeting, and details minutes
- Provides leadership in the Medical Affairs Operations (MAO) role in developing and/or facilitating business processes utilizing technology (where appropriate) to create the highest level of efficiency, productivity, and success possible within the Medical Affairs (MA) organization
- Develops and maintains a departmental newsletter highlighting deliverables and successes from all MAF sub-functions and organized in a visually-appealing executive summary for distribution to senior leadership
- In collaboration with IT, works across MAF sub-functions to enhance dashboard capabilities utilizing Tableau
- Updating and maintaining MAF SharePoint site to be a one-stop-shop for all MAF materials. Utilizes technology to ensure a user-friendly interface, and keeps content up to date on the site on an ongoing basis
- Partners and effectively influences cross functional senior leadership to optimize processes and deliver key performance metrics in a timely fashion
- Manage team & department contracts. Facilitates process from drafting through execution, and identify process improvements to further streamline and shorten timelines
- Establishes collaborative working relationships with departments outside of MA including, but not limited to: Legal; Regulatory; Finance; HR; IT; and Commercial; to optimize the financial, technical, compliance, and strategic management of key functional areas
- Drives operational efficiencies by establishing process improvements, quickly identifying resolutions to issues, and developing communication plans within extended MALT members
- Performs additional duties as necessary
Requirements:
- 4+ years of experience in the biopharmaceutical industry in Project/Program Management, Medical Affairs, or Operations
- Demonstrated experience and track record for timely planning and execution of key initiatives, department priorities, and project coordination
- Demonstrated ability and proficiency to work in teams and coordinate across multidisciplinary, nimble, and fast paced matrix teams
- Possesses a sense of urgency; identifies and escalates challenges and problems and takes the initiative to propose solutions.
- Demonstrated budget and resource management skills
- Ability to build high level medical/scientific knowledge, and to grasp complex concepts quickly
- Proven ability in establishing and maintaining cross-functional relationships with a wide range of internal and external stakeholders
- Excellent written and oral communication skills
- Travel 10-15%
- Bachelor's Degree in Life Sciences or equivalent
- Master's Degree in Business Administration desirable
