Job Details
KEY ROLES/RESPONSIBILITIES
The Secretary will be responsible for a variety of routine tasks associated with the general administrative and clerical duties in support of the Laboratory Animal Sciences Program.
- Procurement of office and laboratory supplies
- Schedule and document meetings, conferences and seminars
- Attend meetings, takes notes, document action items and distribute minutes
- Preparation of travel documents and student internship packages
- Prepare and disseminate administrative reports, documents and correspondence
- Correspondence (telephone, email, etc.) with internal staff and external customers
- Design and set up filing/tracking systems
- Prepare and submit purchase orders and general expense reports
- Perform data entry and monitor projects and perform core service billing
- Tracking publications for PHL staff
BASIC QUALIFICATIONS
This is a dual level requisition. It may be filled at either a Secretary I or a Secretary II.
Basic Qualifications for a Secretary I:
- Possession of high school diploma or equivalent
- In addition to educational requirements, a minimum of one (1) year of clerical/administrative experience
Basic Qualifications for a Secretary II:
- Possession of high school diploma or equivalent
- In addition to educational requirements, a minimum of two (2) years of clerical/administrative experience including one (1) year at the level of Secretary I.
- Working knowledge of administrative office operations
- Experience and proficiency with Windows operating systems and Microsoft Office applications including; Word, Excel, Power Point, and Outlook
- Must be able to obtain and maintain a Security Clearance
PREFERRED QUALIFICATIONS
- Strong oral and written communication skills
- Ability to multi-task
- Excellent interpersonal skills
- Excellent organization and observation skills
- Familiarity with scientific terminology
- Experience with Costpoint and Corcentric Invoicing System
