Purpose of the Position:
The Sr. Specialist, Benefits & Leaves role is multi-faceted, supporting all US benefit plan needs. This role will serve as the subject matter expert on US Benefits and Leave programs and plan operations. This role is responsible and accountable for supporting the Manager, Benefits & Wellness on the strategy and design of the US benefit plans as well as supporting the Manager, US Benefits Operations on the day to day plan administration with vendor management. The Sr. Specialist is also responsible for overseeing the leave and disability program and managing the disability/leave vendor, ensuring service level are met and in line with service agreement. This individual will also provide high level guidance and support to the Leave Specialist who manages the day to day employee leaves and disability. The Sr. Specialist role will report into the Manager, Benefits & Wellness.

Essential Functions:
  • Assist and support the strategy and design of US benefits & wellness program; recommend and optimize employee benefit programs by understanding market trend and evaluating/understanding employee's values, needs, interests and competitive advantage
  • Gather, coordinate, and research necessary information and data needed to assess and review benefit programs to understand costs and employee impact in order to make recommendations
  • Assist with vendor searches and RFPs and participate in the implementation of the strategic benefits initiatives such as plan design changes, new programs offered, new systems and/or new vendors
  • Oversee and manage ancillary benefit plans and applicable vendors such as commuter benefit, employee discount program, back-up child/elder care, and more
  • Assist to ensure benefit plans (health and welfare, retirement, voluntary, etc.) are set up correctly in Workday for benefits administration according to plan provisions and regulatory guidelines
  • Assist to ensure plan documents and required employee communications are distributed in compliance with regulations
  • Assist in developing and reviewing employee communications and announcements throughout the year on benefit programs
  • Identify, recommend, and implement process improvement for benefit plan operation including health, wellness, and retirement
  • Support with activities related to required government filings such as Form 5500s, SARs, SPDs, SMMs, etc.
  • Partner with payroll and vendors on HSA funding for initial employer seed and wellness incentives
  • Manage employee benefits enrollment tasks in Workday
  • Manage the Benefits Inbox and support timely responses to escalated employee inquiries in partnership with vendors and/or internal departments
  • Create, maintain and update benefit administration procedures and processes
  • Manage error reports from eligibility and enrollment files and partners with vendors and HRIS to resolve any errors that occur
  • In partnership with consolidation billing vendor, oversee the monthly billings of benefit programs
  • Process qualified medical child support orders (QMSCOs)
  • Must work collaboratively with other departments such as HRIS, legal, finance, etc.
  • Vendor management of disability provider; partner with Leave Specialist and vendor to ensure proper plan management to facilitate positive employee experience
  • Manage Time Off program in Workday in partnership with payroll
  • Support activities related to annual open enrollment and benefit fairs and holding employee meetings and training
  • Facilitate new hire benefits orientations at local site as well as benefits training, as needed
  • Mentor and train lower level team members; serve as reference for team member questions and concerns
  • Works independently with minimal oversight
  • Stay current on relevant regulatory and legislative changes that may impact plans
  • Other duties may be assigned to meet business needs (annual enrollment, plan audits, M&A, etc.)

Required Competencies, Knowledge, Skills, and Abilities:
  • Advanced technical knowledge of health and welfare and retirement plans including medical, dental, vision life, disability, flexible spending and health savings accounts, 401(k) as well other voluntary and ancillary benefits
  • Knowledge of applicable state and federal regulations to ensure plan compliance (e.g., ERISA, DOL, ACA, COBRA, HIPAA, FMLA, ADA, Paid Family Leave)
  • Strong analytical and problem-solving skills, as well as project management skills, with a high level of attention to detail
  • Ability to multi-task, prioritize projects, and manage multiple deliverables in a fast-paced and changing environment
  • Commitment to process improvement

  • Effective verbal and written communication skills

Education & Experience:
  • Bachelor's degree required
  • Minimum of 5 years of benefits experience, including health, retirement, and leaves of absence
  • Deep experience with benefits enrollment/administration systems
  • Solid knowledge of MS Office (Excel, Word, PowerPoint)
  • Strong attention to detail and the analytical skills to solve problems and issues
  • Experience with Workday is a plus
