Summary:

The Non-Employee Management Organization ("NEMO") is a centralized, insourced service team which is charged with the strategy and management of the Regeneron Global Contingent Workforce. The Lifecycle & Data Operations sub-function, owns the validation and maintenance of global non-employee data in the Beeline Vendor Management System (VMS), and delivers a series of client facing on/off-boarding activities which are collectively known as "lifecycle services".

The NEMO Data & Lifecycle Specialist is responsible for managing the flow and validation of contingent worker data in the Beeline application against established process and SLAs, while offering best-in-class customer service support to all users.

Responsibilities:

Data Management and Lifecycle Operations:

• Monitor, manage, and process high volumes of on/off-boarding transactions in the Beeline VMS tool
• Monitors the Beeline activity dashboard, validating and releasing transactions in adherence to SLAs
• Calls Managers and Suppliers to verify or collect missing or incorrect transaction data
• Monitors Supplier pre-clearance submissions such as background check and occupational health checks
• Verifies the correct submission of contractor agreements, debarment certifications, and resumes
• Proactively follows up with Suppliers to expedite the pre-clearance and on-boarding processes
• Ensures all parties are notified of the approval to begin on-boarding
• May assist in the coordination of start dates between Manager and Supplier (if supporting Talent Acquisition)
• May assist in the collection of SOWs from Suppliers (if supporting Talent Acquisition)
• May assists managers in the completion of IT asset provisioning requests and provide overall status updates
• Coordinates the exchange of performance and assignment feedback from Managers to the Supplier
• Escalates sensitive non-employee situations to NEMO leaders for assessment and issue resolution
• Monitors upcoming end-dates in the Beeline system, coordinating the extension of worker assignments
• Conducts Off-Boarding Coordination Calls to assess and prepare for non-employee off-boarding events
• Organizes off-boarding events with the Supplier and Manager, coordinating dates and responsibilities by role
• Ensures the on-time removal of systems and building access at the close of each assignment
• Partners with IT, Security, HR, and NEMO leaders to assess and manage difficult off-boarding situations

Client Service Operations:

• Provides best-in-class customer service and support to all users on every transaction
• Monitors the team email mailboxes and ensures timely correspondence and transaction processing
• Answers incoming calls to the NEMO hotline for transaction assistance and general inquiries
• Participates in the remediation of issues submitted to the IT Global Support Desk for Beeline Level 1 issues
• Assists with the creation and maintenance of Beeline user accounts for Managers and Suppliers
• Provides training of the Beeline system to end-users as required, both in person and over the phone
• Regularly promotes the NEMO process and best practices, sharing NEMO training material and guides
• Participates in NEMO/Beeline process enhancements, bubbling up issues and ideas to team leaders
• Participates in process engineering with other internal centers of excellence, as directed by leadership
• Will cross-train and provide back-up support to all NEMO lifecycle roles for peak periods and absence coverages
Requirements:

• 5+ years professional work experience
• 3+ years in a data management position, preferably in an HR function
• Previous experience working in a VMS, HRIS, or Applicant Tracking tool is required
• Advanced MS Excel for data reconciliation (v-lookups, pivot tables, basic formulas)
• Able to learn new systems quickly and understand a broad Technology Ecosystem
• Highly organized "process master", able to execute with precision under tight timelines
• Superior attention to detail. Able to work with a large volume of data in order to identify anomalies, trends, gaps, etc.
• Leadership, organization, and stakeholder management skills
• Must possess critical thinking and problem solving skills
• Understands proper escalation pathways and triggers
• Prior experience in a life sciences industry is desired

Minimum Years of Experience: Bachelor's degree required; in business administration, human resources or related field
