The role will provide administrative and operational support to the VP of Research and his teams, by implementing a highly organized and efficient workflow. Qualified candidate should excel at time management and feel comfortable working in a fast paced and often ambiguous environment. Should also possess the ability to build strong working relationships with peers across multiple departments.


• Proactively manage VP's calendar and resolve conflicts using basic understanding of priorities. Ability to anticipate needs in order to manage all meeting logistics

• Organize and prioritize VP's deliverables; track deadlines and ensure completion

• Internal meeting coordination; frequent guest speaker logistics planning and hosting

• Heavy domestic and international travel arrangements, along with expense reports

• Organize and maintain key department information (contact lists, data sites, contracts, budgets etc.)

• Event planning such as department celebrations, team building events and holiday lunches

• Office equipment and supply maintenance

• Ensure effective and timely communication within the functional area, across the research department and the company

• Act as liaison with departments such as Human Resources, Finance, Procurement, Facilities, IT etc. to support operations

• Identify, develop and support continuous process improvements

• Backup support and coverage for other members of the Research Administrative Team

• Other administrative duties & special projects as required


• Bachelor's degree preferred and 2+ years of relevant experience

• Superior organizational skills; ability to manage/prioritize multiple tasks and requests while maintaining a high level of accuracy and attention to detail

• Highly collaborative with strong interpersonal, written and verbal communication skills; effective customer service; ability to interact with all levels of employees and management while maintaining confidentiality

• Ability to work independently while also being a team player; comfortable taking initiative, leading projects and being assigned tasks while informing team and leaders on progress and obstacles

• Can handle change and uncertainty with composure; able to shift gears comfortably

• Exceptional judgment, critical thinking and problem-solving skills

• Proactive, responsible and accountable

• Proficient in MS Office (Outlook, Word, PowerPoint, Excel) and experience with SharePoint, Concur, Oracle and teleconference systems is desired; ability to learn new technologies and systems quickly and easily

• Event planning and project management experience a plus

• Science or pharmaceutical background/knowledge/interest desirable
