Summary:

To provide administrative support for L&OD team
Provides general administrative support to various levels of management and staff on the L&OD team. Includes managing meeting invites and logistics, coordinating travel and processing expenses for department with administrative support for applications: Microsoft, SharePoint, LMS, and Concur, as required, or other specialized support as required.

Responsibilities:

Detailed expectations

• Managing training instructor led course calendar

• Building and closing out classes in the learning management system (LMS)

• Managing class rosters

• Sending class surveys

• Meeting external training vendor and provide support in classroom

• Manage security and wifi for vendors and guests

• Preparing class materials for various team trainings

• Order food from internal and external catering for training and team meetings

• Book rooms for training and team meetings

• Order office supplies and training materials

• Event Planning- support with team events, which include room, food, planning

• Reconcile department expenses and Director expenses (Concur)

• Support Executive Director with 360 requests and BTS assessments along with calendar support

• Works with supervisor to act as a point person for all new employees within the department(s), coordination with IT, Facilities, and Procurement, communicates with space planning.

• Coordinates basic administrative workflows within the department and may help streamline processes. Makes recommendations for solutions to issues.
