Job Description:

Position Summary

Reporting to the Senior Manager, the Human Resources Assistant/Receptionist serves as an integral part of the Cambridge HR team by providing administrative support and owning designated HR responsibility areas to ensure compliance and the highest level of professional service to the Cambridge site and its employees.

Essential Functions

Managing the Reception Desk
  • Managing the phone efficiently
  • Greeting visitors in a friendly manner
  • Issuing visitor access badges
  • Answer incoming/internal calls
  • Take messages when requested and pass on to relevant person
  • Managing incoming and outgoing mail
  • Manage the site stationary supplies

HR Assistant Responsibilities
  • Make travel arrangements and manage itineraries
  • Arrange and provide support for internal meetings including event planning and execution
  • Expense and internal vendor management process for HR
  • Updating the Organizational Chart weekly
  • Updating the seating chart and telephone extension lists
  • Support the recruiter on site with interview scheduling and onboarding communication
  • Create New Employee Orientation packets and schedules
  • Creating and managing employee files, both electronically and hard copies
  • I-9 verifications
  • Handling all employment verifications
  • Schedules meetings for team members as necessary
  • Manage the commuter and fitness benefits on site
  • Track HR training for input into the Global LMS
  • Be part of the Experience Team to support employee engagement
  • Update and maintain the HR Information Boards
  • Perform additional duties and assigned projects to achieve overall HR objectives.


Education & Certifications
  • The candidate should have a BA/BS or equivalent with a minimum of 1 year of experience

  • Strong attention to detail, excellent communication skills, strong interpersonal skills, and cross-cultural understanding and sensitivity
  • Proven ability to succeed in a team environment
  • High energy and flexible person who can wear many hats, but also knows how to prioritize tasks in order to meet deadlines.
  • A working knowledge of Microsoft Office-particularly Outlook, PowerPoint and Excel-is essential
  • Familiarity with Skype and Concur
  • Experience in biotech/pharma is a plus but not required.
  • The candidate should have a BA/BS or equivalent with a minimum of 1 year of experience
  • Interest in Human Resources
