Position Summary

The role of the Project Portfolio Manager is to act as an ambassador for Portfolio Management best practice. He/she will demonstrate this through ongoing Portfolio process development, training, mentoring, communication and encouragement, to 'embed' the principles behind Portfolio management practice into the daily practices of Operations.

Responsibilities

  • Initiative Capture - Management of the initiative capture process, Single repository for all initiatives, Unique logging of all initiatives, Feedback on current status, Policing to ensure initiatives do not progress outside of the process.
  • Business case development - Supporting with the review of business cases, Provision of Business case training and mentoring.
  • Initiative designation and prioritization - Supporting the prioritization and designation of initiatives prior to presentation to Governance.
  • Project Governance - Attendance at monthly Project governance meetings, Ensuring projects are aligned with PMO process, Reviewing projects for alignment with stage gate best practice.
  • PPM Governance - Scheduling of the meetings, Preparation of presentation material, Review of business cases submitted, Distribution of material in advance of the meeting, Capturing decisions from PPM Governance meeting.
  • Key Resource Tracking and forecasting - Develop and embed the resource tracking tool to actively track and forecast all key resources. Act as overall system administrator for the resource tracking tool. Prove the necessary training and mentoring to all individuals interacting with the resource tracking tool. Oversee the implementation of the process to ensure the tool is operating effectively. Work with the key stakeholders to identify opportunity to improve the tools effectiveness.
  • Communications - Support PPM Team with the development and maintenance of the PPM communications Plan. Ensure all communications are generated and issued in line with the plan. Through PPM surveys gather feedback on PPM effectiveness. Organize feedback sessions to capture the elements of PPM that are working well and those in need of further work.
  • PPM Gatekeeper Role - The PPM Manager is the Quality check on all business cases and Initiatives before they are presented to governance.
