Position is responsible for business process management, continuous improvement practices, day to day operational maintenance processes for the Electronic Document Management (EDM) system and the Employee Service Center platform (ESC), and other systems used within the Employee Service an HR Operations (ESOPS) team.

This position strives to harmonize and standardize HR business processes across ESOPS team and acting as a liaison between the function and IT departments.

The incumbent will serve as a subject matter expert in streamlining business processes, with some experience in change management. He/she will be responsible for:
  • HR Business Process Management and Design for life cycle processes (within remit of ESOPS)
  • HR Admin for Platform oversight (ESC and EDM)
  • Service Performance Analytics to inform Continuous Improvements
  • Stakeholder Change Management


JOB DUTIES:

HR Business Process Management


  • With Director ES, supports the implementation of the operational design and operationalization of the service model platform as well as for other systems managed within ESOPS. Develops efficient, value added ways for ESOPS to support both HR and the business
  • Responsible for business requirements and process design (vendor supported or in-house) as needed
  • Works with HR COE's to identify and implement process improvements as needed
  • Ensures data integrity, performs user acceptance testing for new processes
  • Translates policies into work flow design
  • Manages and enforces business processes across team
  • Writes and implements standard operating procedures; reviews and provides input to master services agreements, software licensing agreements etc.
  • Leverages market knowledge and guidance to incorporate best practice and organizational guiding principles on process management.
HR Administration for ESOPS - assigned applications (ESC Implementation and Administration and EDM)
  • With Director of ES, supports the day to day administration to deliver HR services including case management and workflow, knowledge management articles and instructions, and HR system transaction processing
  • Works closely with Service Delivery and Operations leader to ensure the development of strategies are delivering superior client service in both quality and efficiency.
  • Collaborates with all relevant HR process owners to ensure that HR administrative processes are user-friendly and efficient, interactions are documented, and hand-offs are executed effectively.
  • Ensures standardization of global HR processes as needed
  • Demonstrates deep knowledge of HR information systems, which enable and support all HR transaction processing.
  • Responsible for level one support (troubleshooting, remedying) for end users on business issues
  • Analyzes and determines application business workflows and reporting solutions through solid understanding of application functionality
  • Standardizes and manages content documentation (knowledge database) and categorization within the shared service platform Actively participates in user groups to stay current in technology
Service Performance Analytics :
  • Establishes baseline current state metrics and future state targets that will deliver future state value and success
  • Implements and monitors service level agreements, quality targets, and key performance indicators (KPIs).
  • Captures defined metrics and analyzes service delivery metrics to identify opportunities for continuous improvement
  • Develops, Schedules and generates custom reports to HR Teams that highlight successes and opportunities with recommendations/approaches to improve HR service.
Stakeholder and change management :
  • Partners with key stakeholders - including HR COE's to analyze work process design and flow, improve processes, and leverage the return on technological capabilities
  • Partners with IT Business Relationship Manager and IT teams to define and manage continuous improvements (process and tools) while leading, maintaining, and promoting process improvement activities, including identification and understanding of key areas of change impact.
  • Partners with HRLT and HR functional heads to lead the initiative for process optimization, orchestration, digitization and modernization to optimize the service delivery model platform
  • Provide business process design expertise to US and international teams, to operationalize HR administration and delivery, ensuring consistency, while accommodating local regulatory requirements where necessary.
  • Participates in business process modeling sessions, acts as documentarian, co-facilitator, or facilitator
  • Conducts "Voice of the Customer" interviews and performs analysis to create business cases for change/projects
  • Participates in root cause analysis to recommend enhancements or other appropriate actions to improve productivity

With L&OD and Communications function, Support organizational change readiness to adopt process initiatives and reinforce the need for change so efforts are sustained long-term. Creates and maintains employee life cycle training programs to ensure high level of business knowledge and required customer focused competencies across HR teams.

Requirements:
  • Deep experience with HR systems, especially shared service model/technology
  • Java script experience with knowledge and skills necessary to review code and understand root cause and how to resolve. Although this position is not for a direct developer, incumbent should not be too far from this ability
  • Expertise in processes, systems and solutions in customer facing and other related areas
  • Ability to interface effectively with business leadership, vendors and key resources.
  • Ability to communicate business requirements to technical developers as well as provide technical guidance and solutions to internal client/business owners
  • Expertise in process and process mapping and knowledge management; Ability to think globally and/or international experience preferred
  • Proven ability to work successfully in a highly matrixed model - corporate, functional and geographic - where strong influencing skills are integral to success
  • Strong knowledge and experience in Business Process Management
    • Demonstrated end-to-end business process thinking; knowledge of present or "as is" processes and ability to lead improvements that will constitute a desired "future state"
  • Experience working with a highly technical, science driven workforce
