The Senior Manager, Payroll oversees all aspects of U.S. payroll operations for 600+ employees (and growing!). The Senior Manager, Payroll will assist in the overall management of US payroll operations to scale for growth without compromising customer service; increase efficiencies; and assist in implementing strategic goals and objectives that directly impact the development and efficiency of payroll operations. The Senior Manager, Payroll will also be responsible for overseeing global payroll processes and system interfaces.

About the role

Oversee and review
  • Oversee US payroll operations by directing and coordinating all payroll and payroll-related activities
  • Identify, establish and oversee the successful accomplishment of payroll and compensation-related goals and objectives, including engaging necessary teams to complete and oversee project initiatives
  • Review bi-weekly US payroll, ensuring new hire information, terminations, and other changes are accurately reflected
  • Review monthly payroll and payroll-related journal entries
  • Prepare and/or review payroll, payroll-related and payroll tax analytics, budget vs. actual variances, and provide insight to finance leadership on fluctuations and changes in accounts on an ongoing basis
  • Coordinate with HR business partners, Benefits, Equity, Legal and others to ensure effective, accurate, and timely flow of information, providing direction and structure where needed
  • Leverage a network of payroll/ payroll tax specialists to problem solve with the Payroll Manager on ad hoc issues as they arise

Compliance
  • Design and implement a multi-state payroll withholding process
  • Be vigilant in monitoring and staying current on federal, state and local developments and share developments with others as needed
  • Help the payroll function to work with Legal to ensure our status in all required states is current and that new state set-up is completed timely
  • Ensure compliance with ongoing state reporting, creating/ tracking against an organized tracker
  • Manage year-end responsibilities to ensure timelines are met and information for W-2 and 1099 reporting is accurate
  • Coordinate with various auditors on required support for internal controls, 401k, worker's comp, and other audits
  • Coordinate data and ensure compliance with Affordable Care Act across HR, Benefits and Payroll
  • Train/develop others on payroll and related matter to ensure compliance objectives are met

Scale for growth
  • Identify areas where the function can reduce manual efforts and partner cross functionally to deliver automation of various payroll processes and interfaces, including implementation of an hourly time reporting system, commuter benefits, 401k contribution elections, and other benefits
  • Work closely with IT to implement additional employee self-service (e.g. federal, state, and other local WH allowance certificates) where possible
  • Oversee and/or help execute on other special projects and assignments to increase efficiency and effectiveness of the payroll function

Policy creation and implementation
  • Evaluate policies and procedures and develop/monitor a work plan for federal, state and local developments
  • Participate in developing policy, process and strategic plans, including around master data
  • Develop an employee training and communications that explains federal, state and local tax changes and the actions required of employees
  • Develop and post to our intranest payroll and related FAQs to assist employees with self-service on areas of interest


About you

  • Bachelor's degree (B. A.) from four-year college or university; or five or more years' experience managing the day to day operation of a large payroll department; or equivalent combination of education and experience
  • Payroll certification preferred
  • Minimum 10+ years' experience in Payroll (SBO, ASO, or PEO experience preferred)
  • Minimum 5+ years of direct managerial experience in payroll is required
  • Experience with ADP Workforce Now required
  • Driver of process improvements and ability to manage change effectively
  • Knowledge of complex multi-state payroll required
  • Strong customer service skills required
  • Experience with Oracle Cloud a plus
  • Proficiency in Microsoft Office, especially Excel, required
  • Ability to read, analyze, and interpret journal entries, financial reports, and/or legal documents
  • Ability to communicate with employees at all levels of the organization
  • Strong attention to detail required
  • Ability to adapt to a fast-paced and deadline-driven environment while managing multiple priorities
