Associate Program Manager, Scientific Communications


Within Scientific Communications (SciComm), this individual is responsible for projects and/or tasks as assigned by Associate Director or Director as it relates to SciComm activities, including, but not limited to, NCCN monitoring, compendia submission tracking, report creation, and troubleshooting systems. Provides support for SciComm systems and related vendors, and has knowledge and understanding of all applicable policies and SOPs. Generates process and workflow maps as it relates to team specific operations. Provides support in management of team specific contracts and budget including tracking and reporting of project-specific spend against target spend.

Responsible for systems administration and maintenance activities, updating and maintaining policies and procedures, documentation of team best practices and processes and creating/updating work instructions and job aids as needed.


  • Support compliance monitoring by generating reports for use by Medical Affairs and for reconciliation with other parts of the organization (e.g. drug safety and quality assurance)
  • Support launch related activities including, but not limited to, building the team launch tracker, ensuring availability of all updated materials in their respective systems (e.g. Sharefile, Sharepoint, SlideBank, IRMS CM)
  • Under direction of AD SciComm, manage systems and vendors associated systems and vendors associated with Medical Information (IRMS, IRMS CM) and Field Medical (Veeva, SlideBank, SlideShark). Create and implement new processes and/or systems to facilitate team efficiencies and output.
  • Support NCCN monitoring, compendia submission tracking
  • Subject matter expert of SciComm systems and related policies and SOPs
  • Manage all VEEVA Vault Routings and Submissions
  • Manage all IRMS CM system uploads and document updates and ensure accurate pull through in IRMS
  • Manage all content uploads, updates, and archival in SlideBank /SlideShark
  • Maintain the Medical Information/Communication intranet webpage content
  • Partner with other internal groups and vendors to achieve deliverables, as appropriate
  • Identify and escalate vendor and project related issues, as appropriate
  • Perform other duties as assigned


  • BA/BS in a scientific discipline required, Advanced degree preferred
  • 2+ years program manager/coordinator experience
  • Demonstrated experience in supporting multiple projects
  • Ability to exercise judgment within generally defined practices and policies that lead to processes for achieving results
  • Excellent organization and planning skills
  • Strong interpersonal skills and communication skills (both written and oral)
  • Ability to problem solve
  • Self-motivated, adaptable to a dynamic environment
  • Able to collaborate effectively with cross-functional team members, and external partners
  • Proficiency in MS Word, Excel and PowerPoint, database management
  • Experience in project management a plus


On a continuous basis, sit at desk for prolonged period of time at company facility to intermittently answer telephone, file, fax, or copy documents, and write or use a keyboard to communicate through written means. Walking and lifting up to 20 pounds may be required. The noise level in the work environment is usually low to moderate.
