Position Summary

Summary:

The Sr Office Coordinator provides facilities and EHS support for the New Jersey site including mail and shipping & receiving services. They coordinate security and asset management and provide assistance for telecommunication, A/V and IT services. The Sr Office Coordinator coordinates space allocation, personnel moves, and space setup and provides new employee orientation to the NJ site. They coordinate copy/fax services and provide support for Facilities work order requests, and interfaces with landlord and property manager re: site issues. The Sr Office Coordinator serves as site Environmental Health & Safety representative, providing safety assessments and documenting inspections and incident investigations. They are the Primary Business Continuity Planner and Plan owner for the NJ site and Operations.

Responsibilities:

• Provides general administrative office support.

• Provides onsite support for various Facilities projects, including oversight and coordination of small projects independently.

• Works closely with Landlord representatives in resolving any building operations issues, billing issues, and service level concerns.

• Works closely with internal organizations in planning, preparing, and executing on-site major corporate events and programs.

• Works closely with Strategic Sourcing & Procurement to negotiate pricing and service levels with outside service vendors.

• Tracks costs associated with on-site employee events. Tracks and reports monthly cafĂ© employee discounts. Tracks office spend (supplies, fruit delivery, milk, etc.).

• Provides support for Regeneron Facilities Requests from end users.

• Supports new employee orientation at the NJ site.

• Manages incoming & outgoing mail, FedEx, and other shipping & receiving support.

• Interacts with and coordinates various vendors and contractors.

• Develops and distributes site-wide communications regarding facilities and site issues.

• Coordinates with security and assists with programs, distribution of keys, access fobs and ID's.

• Coordinates A/V and videoconferencing services, including maintenance, training, and troubleshooting.

• Coordinates with Space Planning for space allocation and personnel & space moves, including new office setup.

• Assists with the coordination of "hoteling" offices and conference rooms, including scheduling & coordination.

• Coordinates copy/fax programs and equipment.

• Coordinates asset moves, adds, and changes with Asset Management group.

• Manages coffee services, kitchen supplies, and central office supplies.

• Serves as site EHS and fire warden and supports emergency response.

• Investigates accidents & other safety incidents and documents reports to EHS.

• Serves as an observer of potential employee relations or other HR problems; alerts HR as needed.

• Provides excellent customer service to the Regeneron community.

• Provides support to Administration and Event Services in planning and executing events in Basking Ridge.

• Follow office workflow procedures to ensure maximum efficiency.
Requirements:

Education

• Associate's Degree.

Experience

• 3 - 5 years related experience in a facilities or operations environment.
