Position Summary:

Provides administrative and clerical support to relieve department managers or staff of administrative details. May coordinate messages, appointments, information to callers, file maintenance, department office supplies and mail. Researches, compiles and proofs word processing assignments. Operates automated office equipment. May be assigned to various functional areas of the company.

Responsibilities:

Completes tasks in creative and effective ways. Works on assignments requiring considerable judgment and initiative. Understands implications of work and makes recommendations for solutions. Determine methods and procedures on new assignments. Independently performs administrative tasks. Performs general administrative duties providing support to department managers. Performs miscellaneous administrative work, including typing, database input and filing. Provides coordination and calendar scheduling of meetings, conference calls, off-site events, catering and travel arrangements. Prepares PowerPoint presentations. Collects and prepares information for reports. Distributes mail, faxes, schedules, agendas, meeting minutes and other materials upon request. May be responsible for maintaining the reception area in an orderly and professional fashion. Ensures office supplies inventory is maintained. Sets up videoconference equipment. May answer the company telephone and greet visitors. Helps to maintain office machines such as, copy machines, fax machines and other relevant equipment by coordinating repairs, maintaining supplies and reporting meter reads. Receives and sorts daily mail. Performs other administrative duties and projects as required.

Requirements:

Requires a minimum of a High School diploma. Equivalent experience may be accepted. A minimum of 6 years industry experience in office services is required. Experience working in the Pharmaceutical or Biotechnology industry is a plus. Good communication skills both oral and written are a must. Excellent customer service skills are a must. Good computer skills are required. Excellent organizational skills are required. Must have an ability to multi-task.
