Position Summary

Summary:

The Administrative Coordinator II provides a broad variety of administrative support to the Clinical Project Management & Operations Department. Works pro-actively and independently in managing daily administrative activities. Plans, prioritizes, and organizes diversified workload. Interacts in a professional manner with both internal customers and external vendors. This position reports directly to the Senior Director and interacts directly with all levels within the department. This position also works closely with other administrative assistants supporting senior leaders of the Company.

Duties:

• Manages, coordinates, schedules and organizes complex activities (i.e. meeting schedules, travel, key communications etc) for Regeneron executives, including the Senior Director of Clinical Trial Management and Senior Director of Clinical Operations Services
• Responsible for calendar management which reflects the business priorities of the team, and supports efficient use of time. Includes the scheduling and handling of logistics for recurring department meetings and events.
• Responsible for scheduling and coordinating complex, domestic and international travel, including expense reporting.
• Provides administrative assistance, as needed (e.g., word processing, REGN Sharepoint, creating PowerPoint presentations, creating Excel spreadsheets, creating Visio org charts)
• Communicates with Regeneron executives, internal/external clients and partner organizations.
• Develops and organizes departmental files, including the support and use of team sites
• Coordinates special projects and program support, including assistance with internal and off-site events
• Maintain and update department materials such as organizational charts, meeting minutes, and data
• Manages and organizes any IT, office supplies or facilities needs
• Support virtual meetings using the latest technologies for videoconference, Teleconferences and Webcasts, ensuring seamless execution of logistics.

Requirements:

Minimum Years of Experience: Minimum Years of Experience: 8-10+ years of "progressive professional experience" as an Administrative Assistant.
A BA/BS degree is preferred; may consider relevant experience in lieu of a degree.
• Minimum 3 years Administrative experience supporting senior or executive level management position
• Excellent written and verbal communication skills
• Advanced computer skills using (MS Outlook, Word, Excel, Power Point, Visio)
• Ability to work independently and with little supervision
• Concur Expense reporting or comparable expense reporting system.
• Strong organization skills and time management: Ability to handle and prioritize multiple assignments
• Demonstrated experience coordinating/scheduling business travel
• Experience with event Planning/coordination
• Exemplary attention to detail
• Must be a team player, who interacts effectively with others.
