Position Summary

Provides a broad variety of administrative support to the Accounting Department. Works independently in managing daily office administrative activities efficiently and effectively. Plans, prioritizes, and organizes diversified workload. Develops and implements changes in office practices and procedures. Potentially provide some support in basic accounting tasks on an ad-hoc basis (dependent on experience level)


• Manages, coordinates, schedules and organizes complex activities such as meetings, conferences, department events, and travel for the VP, Controller and two other senior leaders of the Accounting Dept.
• Actively manages the calendars and prepares and submits T&E reports for the 3 senior leaders of the Accounting Dept.
• Provides administrative assistance as needed (examples include word processing, creating PowerPoint presentations, creating Excel spreadsheets)
• Manages and organizes any IT or facilities needs of the Accounting Department
• Organizes Accounting Leadership Meetings and associated agendas and minutes
• Supports general Accounting staff in procuring office supplies, ordering meals for group meeting and other ad hoc requests
• Potentially provide some accounting analysis and support (dependent on experience level)
• During monthly close processes, ensure that meals are ordered for those staff working late

Reporting Structure:
This position reports directly to the VP, Controller and also interacts directly with the VP, Accounting Operations & Assistant Controller and the Executive Director, Financial Reporting, and other Accounting staff as needed. This position also works closely with other administrative assistants supporting senior leaders of the Company


Knowledge and Skills:
Excellent interpersonal and communication skills. Demonstrates the ability to think creatively and independently and proactively propose solutions. Able to initiate and/or lead multiple projects and assignments. Must be a team player, who interacts effectively with others. Strong organizational abilities and project management abilities with an attention to detail.

Education and Experience:
A BA/BS degree is preferred; may consider relevant experience in lieu of a degree. 10+ years of "progressive professional experience" as an Administrative Assistant.

Computer Skills:
Strong Microsoft Office Suite skills are required.
