Position Summary:

Responsible for providing specialized administrative support to relieve and assist Regulatory Affairs executive and line/staff managers of complex details and advanced administrative duties. Provides effective Regulatory Affairs operational support to enhance departmental efficiencies for achieving regulatory filings. Executes special or continuous research and data analysis tasks. Analyzes problems, determines approach, compiles and analyzes data and prepares reports/recommendations. Coordinates activities between departments and outside parties. Contacts company personnel at all organizational levels to gather information and prepare reports. Work is generally of a critical or confidential nature.

Responsibilities:

Provides specialized administrative support to assist Regulatory Affairs executive and line/staff managers of complex details and advanced administrative duties. Provides effective Regulatory Affairs operational support to enhance departmental efficiencies for achieving regulatory filings; this includes helping to compile submission filings, coordination of reviews and maintaining central records. Recommends and implements ideas to improve efficiency and or cost savings. Manages coordination and calendar scheduling of meetings, conference calls, off-site events, catering and travel arrangements. Occasionally prepares materials for board and investor relations meetings. Designs and prepares PowerPoint presentations. Prioritizes responsibilities while managing multiple projects. Collects, prepares and reconciles information for reports. Fosters and maintains strong working relationships within all levels of the company, outside vendors and contacts. Maintains high level of customer satisfaction. Maintains department records and creates databases. Distributes schedules, agendas, meeting minutes and other materials upon request. Assists to execute contract agreements and PO requisitions for external services, coordinates invoice payments, and management of departmental budget.

Works on assignments that are complex in nature and require considerable judgment, initiative and specialized knowledge to resolve problems and/or develop recommended solutions. Work is completed with minimal supervision, assignments are of the highest quality, and follow-through is outstanding.

Requirements:

A minimum of a High School diploma is required. An Associate or Bachelor degree and familiarity with regulatory/scientific terminology is a plus. Equivalent experience may be accepted. A minimum of 6 years Administrative Assistant experience is required. Previous work experience within a pharmaceutical Regulatory Affairs department is a plus. Ability to work independently with initiative, discretion and confidentiality is required. Must demonstrate an ability to establish priorities and react quickly and professionally. Must be flexible with an ability to multi-task assignments. Excellent organizational and problem solving skills are required. Excellent oral and written communication skills are required. High attention to detail and follow through in completing assignments/projects is a must. Thorough knowledge in the use of PC programs such as Word, PowerPoint, Excel and other applications is required. Must demonstrate an ability to learn new systems and software programs quickly. Outstanding customer service skills are required.
