JOB SUMMARY

Responsible for processing and monitoring expense reports using the Concur Expense Management to ensure timely approval and payment, as well as corporate card expenses. Additional responsibilities include supporting the monthly close process, cash account reconciliations, cash and stock journal entries, and stock administration duties.

ESSENTIAL JOB FUNCTIONS

• Prepare weekly/monthly journal entries, account reconciliations, including Fixed Assets and Prepaid Expenses
• Ensure an accurate and timely monthly and year end close
• Ensure an accurate and timely monthly and year end close
• Apply special cash deposits in MS Dynamics AX
• Prepare bank reconciliations on a monthly basis and other recons
• Process and reconcile monthly American Express Corporate Credit Card Invoice and reconcile employee American Express Corporate Credit Card accounts, as needed
• Lead the Concur expense review process
o Assure expense reports are processed in a timely fashion
o Understand and adhere to travel and compliance policies
o Use rejected expense reports as part of training exercise
o Train internal finance personnel how to review and process the expense reports according to the travel and compliance policies
• Development of Concur and expense report training programs primarily for field sales personnel, headquarters, respond to expense report questions
• Responsible for vendor set up and updates in MS Dynamics AX
• Support stock administrator on daily tasks. Assists with exercises and terminations, etc.
• Lead Accounts Payable function
o Train Accounts Payable specialists and clerks on entering invoices in AX and Accounts Payable procedures
o Enter invoices and ensure invoices are processed timely
o Research and resolve issues, including PO revisions, reclassifications with Purchasing Department and Finance Department
• Review checks open for payment and prepare check runs and ACH/Wire processing weekly
• Assist in the preparation of Sales and Use tax return and Personal Business Property Tax Statement
• Support SOX compliance process.
• Support special projects as needed and assist other team members as requested.

Requirements

ADDITIONAL RESPONSIBILITIES/DUTIES

• Develop relationships with field sales personnel; department heads; all finance and human resources department personnel
• Ascertain policy applied correctly to expense reports (This has a large impact on the company for costs and required compliance regulations)
• Interface with employees at all levels of the organization
• Work closely with team members to adhere to SOX controls and streamline the processing of data within the department
• Develop and update a desk manual
• Other special projects as required

EDUCATION AND EXPERIENCE

• College degree, preferred
• 5 years or more experience in processing Accounts Payable (including expense reports), Finance (issuing reports on statistics), and General Ledger (journal entries, reconciliations, problem research & resolution)

• Computer skills including MS Office, ERP database experience
